About The Position

The Staff Accountant supports the Accounting Department by assisting with billings and accounts receivable, providing support to the accounts payable and payroll reporting functions, and contributing to the overall accounting operations. This role helps ensure financial information is accurate, timely, and properly recorded while working closely with internal departments to support efficient financial processes.

Requirements

  • Maintain accuracy and attention to detail in all transactions.
  • Communicate effectively with Project Managers and internal teams.
  • Ensure timely processing of billings, collections, and reconciliations.
  • Proactively identify discrepancies and follow through to resolution.
  • Maintain organized and audit-ready electronic documentation.

Responsibilities

  • Track and log all project billings in the excel worksheet by job.
  • Reconcile billing totals to invoice cover sheet totals prior to submission.
  • Prepare conditional release waivers.
  • Process miscellaneous billings: Rental truck & small tools billing, Forklift usage, Rent income, Other non-standard billings.
  • Post cash receipts in the system and attach posting reports to deposit documentation.
  • Maintain the AR deposit tracking log (Excel).
  • Maintain AR aging and monitor past due balances.
  • Follow up weekly with Project Managers on outstanding receivables.
  • Perform monthly reconciliations of billing and AR accounts in CMiC.
  • Investigate and resolve discrepancies.
  • Support month-end close related to billings and AR.
  • Provide backup support for Textura billing processes, including compliance tracking and subcontractor payment coordination.
  • Provide backup support for Accounts Payable, including invoice entry-workflow, coding, and payment processing.
  • Work closely with HR to process the payment of insurance billings timely, including invoice entry-workflow, proper coding and department allocation, and payment processing.
  • Support payroll with certified payroll reporting, OCIP reporting, and DIR online reporting.
