About The Position

The On-Campus Living department is seeking a Sr. Residential Mail Coordinator to oversee and manage the daily operations of an assigned residential mailroom. This role is crucial for the efficient receiving, processing, and distribution of all mail and packages for students living in university housing. The coordinator will handle signature-required deliveries, manage the housing management software for address verification and mail redirection, and ensure the safe and timely delivery of all items. Additionally, the position involves supervising student staff, developing training materials, and maintaining operational efficiency during peak periods.

Requirements

  • High School Diploma or graduation equivalent
  • Three years customer-service oriented work experience
  • Experience preferably in a mail services environment
  • Experience with working in a student friendly, diverse environment
  • PC, Mailing and Shipping equipment, fax, copier, label maker, JCard Services POS Terminal, Canva, and StarRez (housing management software).
  • Microsoft Office Suite, in addition to other software packages and computer skills as needed.
  • Courteous with strong customer service orientation
  • Ability to multi-task and work.
  • Comfortable in a fast-paced, student friendly/diverse environment.
  • Dependable with proficient attention to detail
  • Strong communication and decision-making skills
  • Must be flexible with the ability to adapt to change quickly.

Responsibilities

  • Oversee all incoming federal U.S. mail and packages delivered for students residing in university housing.
  • Research and resolve parcel and package issues.
  • Ensure appropriate delivery and handling of sensitive parcels.
  • Oversee Mailing & Shipping Software programs for outgoing shipments, void shipments, and system troubleshooting.
  • Provide packaging and shipping service options for domestic and international shipments.
  • Monitor postage, packaging, and shipping supplies inventory.
  • Access web-based delivery services sites to research delayed deliveries or missing packages.
  • Design and create marketing materials to communicate mail service changes to students.
  • Recognize and report suspicious or potentially dangerous mail or packages.
  • Document and maintain package return logs, accurately labeling and updating student mailboxes.
  • Adhere to university policy for unclaimed packages and follow up directly with students.
  • Coordinate mail-forwarding process.
  • Oversee university-designated locker system for tracking and delivery of residential packages.
  • Ensure student staff are proficient in Residential Mail Services policies and U.S. federal mail compliance.
  • Develop and implement training for student workers on essential software platforms (StarRez, SMART Mailing & Shipping, JCard Services POS terminal).
  • Conduct annual revisions of mailroom manuals.
  • Onboard and supervise designated student employees and perform annual performance reviews.
  • Monitor and enforce FERPA guidelines for handling confidential student information.
  • Coordinate and manage needs for high-volume periods (Fall Move-In, Spring Move-Out, holidays).
  • Provide effective customer service to students, staff, and the Hopkins community.
  • Communicate effectively with departmental representatives, students, parents, staff, postal employees, and external delivery service employees.
  • Communicate consistently with and develop positive working relationships with all delivery personnel.
  • Perform other duties as assigned.
