About The Position

The Senior Operations Associate - Color Stones & Pearls Logistics is responsible for all aspects of incoming and outgoing merchandise, ensuring timely and accurate preparation of shipments and receipts from internal and external partners. This role supports the physical and systematic receiving of gemstones and pearls, and provides Inventory Control support for Gemstone Acquisition buying, grading, and planning teams. The position may also support additional projects and responsibilities to achieve departmental goals.

Requirements

  • 2-5 years of experience in Operations, Logistics, Inventory Management or Supply Chain
  • Ability to prioritize while handling multiple tasks
  • Strong verbal and written English communication skills
  • Strong orientation to customer service and/or related work experience
  • Proficiency in Microsoft Office
  • Ability to translate goals into clear workable action plans
  • Self-motivated, proactive and solution oriented, willing to work overtime as needed
  • Experience handling sensitive and proprietary information, adherence to policies & procedures including but not limited to - safety, confidentiality, security
  • Must be flexible and willing to change responsibilities within the Department

Responsibilities

  • Ensuring timely receipt of all incoming merchandise, supplies, and equipment.
  • Verifying and breaking down packaging for incoming shipments.
  • Verifying and confirming contents of shipments from Laurelton grading labs for incoming transfer.
  • Distributing and/or delivering all packages to the appropriate individual(s)/department(s).
  • Timely shipment of internal & external outbound shipments of merchandise, supplies, and equipment.
  • Verifying all shipping documentation complies with Courier, International Customs, and Tiffany & Co. policies and procedures.
  • Monitoring the In-transit report and coordinating with business partners to process aging receipt of shipments, escalating to management when necessary.
  • Conducting monthly audits of all outbound shipments from all carriers, identifying and investigating discrepancies.
  • Managing and maintaining all shipping supplies, coordinating order placement through Coupa as needed.
  • Ensuring incoming & outgoing paperwork complies with Kimberley Statement & Synthetic Statement, Warranty Statement, and VAT Tax Statement (Belgium) where applicable.
  • Maintaining all shipment inbound and outbound internal log sheets in accordance with Audit requirements & established TCO procedures.
  • Documenting all shipment records and maintaining the filing system in accordance with the Record Retention Policy.
  • Performing detailed systematic receipt of diamonds using the J.D. Edwards system.
  • Completing the systematic transfer of ownership from in-process to Tiffany owned merchandise.
  • Returning rejected merchandise to suppliers and dispositioning from the JDE system.
  • Preparing shipment of stones to the Merchandise Testing Laboratory (MTL) and ensuring test results & documentation are properly kept.
  • Supporting processing for all qualifying stones into the Grading Lab, completing evaluations using Sarine technology and controlling data upload into JDE.
  • Supporting continuous improvement initiatives through the identification of process improvements and communicating suggestions to management.
  • Reviewing SOP documentation to ensure accuracy and creating work instructions as needed.
  • Leading training sessions with supporting team members.
  • Assisting with various projects and tasks associated with business initiatives as requested.
  • Adhering to all Tiffany & Co. workplace policies and procedures, ensuring safety measures and guidelines are followed.
