About The Position

The Sr Facilities Manager oversees day-to-day facilities operations across an institutional campus, ensuring building systems, services, and vendor relationships function effectively. This hands-on leadership role translates strategic objectives into operational plans and maintains a safe, functional environment. The position coordinates service providers, manages work order systems, and supports optimal building performance and efficient operations.

The role is on-site in Philadelphia, Pennsylvania. It requires managing a complex 24/7 operation involving multiple trades, utilities, and a diverse workforce. The position does not provide visa sponsorship; candidates must be authorized to work in the United States without sponsorship.

Requirements

• At least 7 years of direct facilities management experience, including supervisory or leadership roles.
• At least 3 years of experience with automated facility maintenance management (CMMS) systems.
• Experience managing a complex 24/7 operation involving multiple trades and utilities and a diverse workforce.
• Experience with vendor management and contract negotiation.
• Strong leadership and relationship-building skills, with proven team management experience.
• Advanced knowledge of building systems and maintenance requirements.
• Proficiency in budget management, financial analysis, and Excel.
• Must be authorized to work in the United States without visa sponsorship.

Responsibilities

• Oversee daily facilities operations, including HVAC, electrical, plumbing, and building automation systems, to support optimal performance and minimize downtime.
• Manage work order systems, prioritize maintenance requests, coordinate response times, and ensure timely resolution of facilities issues.
• Manage vendor relationships and service contracts, including monitoring service quality, managing schedules, and conducting regular vendor evaluations.
• Conduct facility inspections and walkthroughs to identify potential issues, maintain cleanliness standards, and verify completion of maintenance work.
• Coordinate with the maintenance team to develop preventive maintenance schedules and ensure compliance with equipment service requirements.
• Respond to emergency situations and after-hours issues by implementing contingency plans and mobilizing resources as needed.
• Track operational metrics and prepare performance reports, identifying trends and recommending process improvements.
