About The Position

The Specialist I, Workforce Solutions is an integral member of Ricoh North America’s Workforce Solutions organization, supporting a consistent, fair, and compliant employee experience across Canada and the United States. This role is responsible for conducting prompt, objective, and well-documented workplace investigations involving low- to moderate-risk employee relations matters, with a focus on early issue resolution and risk mitigation. To accomplish this, the Specialist I must demonstrate working knowledge of workplace complaint investigations, employee relations best practices, and equal employment opportunity principles, along with the ability to apply policies and procedures in a practical and consistent manner.

Requirements

  • 1 to 2 years overall Human Resource experience including related school work, internships or work experience
  • Must have a proven track record of relationship building with both internal and external customers
  • Strong verbal and written communication skills, exemplary customer service skills
  • Consideration and discretion must be applied to evaluate and resolve issues in the best interest of both the organization and employees
  • Good judgment and flexibility in order to assist the company in making decisions that balance legal risk and business needs
  • Basic consultative skills along with ability to coach others to resolve people issues
  • Juggling multiple deadlines and employee relations issues is a routine part of this role
  • Dealings with employees/managers must be handled with tact, timeliness and political savvy
  • Comfortable in ability to confront and influence others
  • Deal with interpersonal conflict, stressful work conditions and rejection by coping in a mature, problem solving, solution-oriented manner
  • Deal with employee conflicts and differences by interpreting verbal/ non-verbal behavior, detecting perceptions and needs of employees, understanding and valuing employee differences
  • Must have exhibited independent judgment by making sound, justifiable decisions and taking action in solving problems
  • Must have demonstrated excellent oral communication skills by clearly presenting information through the spoken word in positive and negative circumstances
  • Requires solid knowledge of personal computer (word processing, spreadsheets and use of data bases) for compiling reports, statistical data, composing memoranda and other similar documents
  • Knowledge of applicable federal, state and local laws and regulations

Responsibilities

  • First point of contact for employees with workplace concerns.
  • Monitor various reporting methods and intakes.
  • Conducts timely, impartial, and well-documented investigations into all work-related concerns, including but not limited to employee complaints, policy violations, conduct issues, and alleged noncompliance, ensuring alignment with policies, employment laws, and best practices.
  • Thoroughly documents all aspects of investigations, including intake, interviews, evidence review, factual findings, analysis, and conclusions, in accordance with established best practices and legal standards to ensure accuracy, consistency, defensibility, and risk mitigation in employee relations and potential litigation matters.
  • Owns assigned investigations and monitors case status and progress within the case management system.
  • Interprets policies and procedures while working toward a resolution.
  • Facilitates collaborative problem solving strategies to resolve complaints.
  • Influence, coach, and problem solve when necessary to ensure appropriate and consistent application of policy/procedures and uniform treatment of employees as part of investigation.
  • Ensures that post investigation actions are concluded.
  • Provides on-going feedback to Manager II, Workforce Solutions and/or Senior Director, Workforce Solutions on issues.
  • Provide coaching and counseling on workplace issues, consistent with policies and past practices, including, when necessary, performance management and terminations.
  • May handle certain administrative tasks as assigned.
