About The Position

The Specialist, Events and Activations works with internal clients, external vendors and the marketing and communications team to plan, execute and support events and activations hosted by Calgary Economic Development (CED) for the overall purpose of promoting Calgary as the location of choice for business, investment and talent.

Requirements

  • Post-secondary education or demonstrated experience in relevant field such as marketing or events.
  • Minimum of 5 to 7 years of experience in a directly related area.
  • Ability to work well with a team and as an individual contributor.
  • Strong project management skills and ability to manage multiple projects at once.
  • Strong communication skills, both written and verbal.
  • Strong time management skills and ability to meet deadlines.
  • Strategic approach, critical thinking and strong problem-solving skills to arrive at creative and innovative solutions.
  • Detail focused and strong project, event and budget management skills.
  • Sound relationship building skills and demonstrated ability to work cooperatively with peers, other departments, and stakeholder groups.
  • Experience working effectively in a fast-paced environment and during stressful periods, while maintaining a composed disposition.
  • Proficient with Microsoft office applications, especially Outlook, Word, Excel and PPT.

Nice To Haves

  • Experience with CRM, event software, and financial systems an asset.
  • Understanding of the local business environment, government, industry, culture and regulatory environment considered an asset.

Responsibilities

  • Lead or support Calgary Economic Development signature events including Report to the Community and Economic Outlook.
  • Manage other events and activations such as, but not limited to, conferences, sponsorships, announcements and internal events in close collaboration with teams across the organization.
  • Work with internal clients to identify objectives for each event and create, communicate and manage project plans and workback schedules to achieve desired outcomes.
  • Work with external vendors to secure venues, production services, AV and catering, and other event logistics as required.
  • Utilize event software to execute virtual events, manage registration and other digital components to events including but not limited to post-event surveys.
  • Manage event budgets.
  • Work with the marketing and communications team to find creative ways to bring CED's brand to life at events, including but not limited to selection of speakers, on site activations, promotional collateral, décor and more.
  • Oversee event set-up and execution on site pre-event and day-of event.
  • Evaluate the success of events by tracking metrics and feedback, performing analysis and connecting with internal and external clients to communicate key results and learnings.
  • Monitor the events inbox to respond to event inquiries.
  • Maintain, organize and inventory event collateral including banners, signage, décor, and more.
  • Working within an annual budget, select, order and manage the inventory for corporate and brand swag for events and the broader CED organization throughout the year.
