About The Position

ReGeneration is seeking an experienced full-time Special Projects Coordinator to join their Chicago team for the 2026-2027 school year. This role is central to maintaining an orderly, responsive, and welcoming school environment. The Special Projects Coordinator will manage administrative systems and routines, acting as the primary contact for students, teachers, families, trustees, donors, and visitors. Effective communication with all constituents is essential. The position reports directly to the Director of Operations.

Requirements

  • Bachelor's degree
  • 1-3 years of previous office management/administrative experience in a public or charter school.
  • A cheerful and welcoming demeanor
  • Very strong interpersonal and communication skills (written and oral)
  • Strong organizational skills
  • Takes instruction well, as well as takes initiative
  • Experienced with Impact and Power School (REQUIRED)
  • Proficiency with MS Word, Excel and databases (REQUIRED)
  • Ability and desire to work in a fast-paced, highly disciplined, sometimes unpredictable school environment
  • Maturity, humility, strong work ethic, sense of humor, and "roll up my sleeves" attitude

Responsibilities

  • Coordinating transportation services and troubleshooting issues.
  • Coordinating student health services, monitoring student health and safety, and coordinating with nursing staff.
  • Filing of documents.
  • Planning and managing logistics for school events and activities.
  • Assisting with creating and implementing school schedules and coverage trackers.
  • Managing logistics for school-wide or grade-level field trips and other culture events.
  • Maintaining the school calendar of events and class schedules.
  • Coordinating on-site components of school financial systems.
  • Collecting and compiling school performance data and creating presentations and reports.
  • Managing the report card and progress report process.
  • Producing letters, memos, and other notices, and ensuring documents are posted to the Shared Server.
  • Creating and assembling materials for staff trainings.
  • Ensuring an orderly, responsive, and friendly school environment.
  • Performing other administrative duties as assigned.
  • Processing late arrivals and following up with families of absent students.
  • Producing accurate and timely student attendance, disciplinary, honor roll, and other reports.
  • Overseeing the student attendance data process and auditing student behavior data.
  • Using PowerSchool and Impact to reconcile student attendance and maintain/update student contact/demographic information.
  • Executing the logistics for the administration and processing of regular and annual state exams.
  • Welcoming visitors and serving as a gatekeeper.
  • Answering phones, redirecting inquiries, and relaying messages.
  • Managing positive working relationships with school vendors.
  • Directing the school's main office and serving as back up to the Office Manager.
  • Managing mail and packages.
  • Maintaining a clean, stocked, and organized office environment.
  • Conducting weekly supply inventory/equipment checks and restocking.
  • Managing the school's asset and supply systems.
  • Fulfilling staff supply requests.
  • Maintaining office equipment.
  • Assisting teachers with daily classroom technology needs and regular technology support.
  • Processing student applications.
  • Managing the collection and maintenance of student and school records/systems.
  • Planning and executing the school's admissions process.
  • Organizing and executing preparations for open houses, new and returning student registration.
  • Working with the Director of Operations to design and place advertisements for student recruitment.
  • Assisting with school-based student recruitment, including materials creation and hosting recruitment events.
  • Managing the GoCPS account.
  • Assisting parents and scholars with enrolling onto GoCPS and selecting high schools.
  • Keeping track of high schools 8th graders are attending.
  • Planning all 8th grade events.
  • Ordering all 8th grade ceremony items.
  • Meeting with the principal to discuss all activities related to 8th grade.
  • Booking speakers and churches for 8th grade events.
  • Submitting all event invoices.
  • Collecting and managing 8th grade fees.
