About The Position

This position is responsible for planning and coordinating the logistics for events, including scheduling, travel, transportation, facilities, technology, equipment, itineraries, and food and beverage. The role involves developing or revising communications such as news releases and brochures, monitoring budgets and expenditures, and assisting with budget planning, purchasing, and inventory needs. The Special Events Coordinator works independently under limited supervision and assists with special projects as assigned.

Requirements

  • Bachelor's degree
  • 2 years work-related experience
  • Valid driver's license with a motor vehicle record (MVR) compliant with the Driving for University Business SAP.

Nice To Haves

  • Experience using Microsoft Office 365 and electronic calendar management systems (such as Outlook), with proficiency in coordinating meetings, preparing documents, and managing shared resources.
  • Experience providing professional customer service and serving as a primary point of contact for internal and external constituents while exercising tact, diplomacy, and sound judgment.
  • Experience coordinating meetings, events, or travel arrangements, including logistics, agendas, meeting materials, and follow-up communications.
  • Experience tracking projects, deadlines, or action items across multiple stakeholders.

Responsibilities

  • Planning logistics and negotiating contracts for travel, events, accommodations, entertainment, transportation, facilities, technology, equipment, logistical requirements, printing, food and beverage, and other related issues, within University and other required guidelines.
  • Developing or revising information for news releases, brochures, pamphlets, leaflets, and other related publications.
  • Coordinating department schedules and information dissemination.
  • Monitoring budget and expenditures for assigned areas; assisting with budget planning, purchasing, and inventory needs for assigned areas.
  • Attending events to ensure on-site full-time presence and coordinate event activities (for some positions).
