About The Position

This is a lead, professional position wherein the incumbent is responsible for performing advanced administrative work in support of the agency and the Director of the Office of Homeland Security (OHS). The incumbent will perform lead work in support of functional areas affiliated with administration, code compliance, emergency management, and public safety communications. The incumbent may supervise an administrative team of lower-level positions and work is evaluated based on contributions to operational effectiveness of the office.

Requirements

  • Bachelor’s degree from an accredited College or University in Liberal Arts, one of the Social Sciences, or Public or Business Administration; or field closely related to assignment/functional area for example Homeland Security, Emergency Management, Project Management, Public Relations.
  • Two (2) years of progressively responsible administrative experience in government or business.

Nice To Haves

  • Master's Degree in Business/Public Administration, Homeland Security, Emergency Management, Project Management, Public Relations or a closely related field.
  • Two (2) or more years’ experience providing high-level executive administrative support to senior leadership, such as director, assistant director or comparable executive in a public safety environment.
  • Experience with government administrative processes such as procurement, budget support, personnel or records management.
  • Experience working in a fast-paced, high pressure office requiring adaptability, prioritization, and independent decision making.
  • Bilingual proficiency in Spanish preferred but not required.

Responsibilities

  • Plans, organizes, and oversees the coordination of personnel, programs, and projects in support of the OHS’s strategic priorities and mission; serves as a key liaison among divisions and stakeholders to ensure effective communications, coordination, and timely execution of organizational objectives and initiatives.
  • Prepares, coordinates and maintains a wide range of executive, operational and administrative documents, including reports, briefings, presentations, surveys, inventories, and incident-related materials; provides direct project and administrative support to the Director.
  • Apply program analysis techniques to monitor performance, evaluate operational effectiveness, support strategic planning initiatives, identify trends, support decision making, and provide recommendations to leadership.
  • Skilled in coordinating and disseminating timely, accurate, and professional communications related to public safety communications, emergency management and homeland security and code compliance/agency operations to support informed decision making and public awareness.
  • Demonstrated ability to manage complex scheduling logistics and coordinate high-profile meetings, briefings, and engagements for the Director and senior leadership; Ensures seamless collaboration among internal divisions, elected officials, external partners, and other high-level stakeholders, while ensuring the effective prioritization of competing demands and organizational objectives.
  • Proven ability to safeguard sensitive and confidential information with integrity, discretion and professionalism, while navigating matters of significant organizational, operational and strategic importance.
  • Serve as a liaison between the Director and internal/external partners ensuring efficient communication and follow-through.
  • Proven ability to represent the Director or serve as the Director’s designee in high-level meetings with senior officials and executive-level stakeholders, effectively communicate and present information, and prepare accurate and comprehensive documentation of discussions, decisions, and action items.
  • Demonstrated ability to anticipate operational needs and proactively address administrative challengers in a fast-paced, high demanding environment.
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and related office systems, supporting executive operations through effective coordination, program tracking and organizational efficiency.
  • Knowledge of government structure, operations, and administrative practices with demonstrated understanding of public safety systems and interagency collaboration.
  • Ability to work a flexible and varied schedule, to include evenings, weekends, and on-call availability as needed, to support the Office of the Director with external presentations, speaking engagements, and OHS outreach and community initiatives.
  • Manages administrative support functions for the Director’s Office, including procurement of supplies and coordination of invoice processing to ensure timely and accurate payment and operational continuity.
  • Skilled in coordinating facilities management functions for OHS locations, including key/building issuance and tracking, maintenance and repair requests, and coordination with facilities personnel to ensure a safe and secure work environment.
