About The Position

The Spa Coordinator proactively welcomes guests and provides anticipatory service. The role ensures treatments are scheduled effectively to make the best use of the treatment schedule, while providing personalized recommendations about spa services, retail products, and pricing. The position is based at The Joule in Dallas, Texas, a boutique hotel operated by Highgate Hotels.

Requirements

• At least one year of previous spa experience.
• Comfort with computer systems and communicating by telephone and email.
• Ability to work a flexible schedule, including weekends, holidays, and evenings.
• Ability to exert up to 50 pounds of force occasionally and/or 20 pounds frequently or constantly to lift, carry, push, pull, or otherwise move objects.
• Ability to communicate effectively, verbally and in writing, with employees and guests at all levels in an attentive, friendly, courteous, and service-oriented manner.
• Ability to listen to, understand, and clarify concerns raised by employees and guests.
• Ability to multitask and prioritize departmental functions to meet deadlines.

Responsibilities

• Anticipate, identify, and address guest needs in a friendly, professional manner, supporting guest comfort and satisfaction.
• Answer phone calls efficiently and cordially, educating clients about spa services and products.
• Explain spa facilities, treatments, and products thoroughly and knowledgeably to support customer satisfaction.
• Schedule and confirm appointments according to spa protocols to maintain a smooth and efficient workflow.
• Check guests in and out using the spa software system.
• Process sales transactions and complete daily cash-outs according to company protocols.
• Open and close the medical spa following standard operating procedures.
• Participate in staff meetings, planned seminars and events, and educational trainings as scheduled.
• Perform other duties as requested by management.
