Bilingualism is required as this is a role involving collaboration at the national level, and the candidate will have to process and follow up on various requests from clients and third parties who only understand and communicate in English. This position also requires the candidate to be able to interact fluently with colleagues in our offices across Canada, where English is the predominant language. As we estimate that more than 60% of the work required for this position must be performed in English and to ensure that the employee occupying this position can perform their tasks autonomously and effectively, candidates for this position must be able to communicate adequately in French and English, both orally and in writing. We are recruiting a Bilingual Leave and Disability Management Specialist to join our team in our Montreal office. The successful candidate will have at least 5 years of experience in leave and reasonable accommodation management and will be responsible for managing, within deadlines and across the firm, leave and reasonable accommodation programs for employees and lawyers.

Requirements

  • Bachelor's degree in administration or human resources, or any other equivalent training relevant to the role.
  • Bilingualism, oral and written, in French and English is required.
  • Minimum of five years of experience in a similar role related to leave and accommodation management.
  • Proficiency in Microsoft Office Suite software, including Excel.
  • Knowledge of Canadian laws, regulations, and programs related to employee benefits.

Responsibilities

  • Manage disability leaves and accommodations firm-wide. Act as the primary point of contact for firm members and our suppliers regarding any information related to our leave and accommodation benefit programs.
  • Administer and coordinate all short-term and long-term disability leave requests and accommodation requests, including return-to-work planning and reintegration.
  • Support firm members at all stages of disability leaves and accommodations by providing information on programs and benefits, and by collecting the necessary information to ensure smooth transitions.
  • Provide third-party suppliers and insurers with the necessary documentation, information, and support to assess and manage disability and accommodation requests.
  • Ensure that all communications and documentation related to leaves and accommodations are kept secure, in accordance with privacy and organizational requirements.
  • Ensure that accommodation requests are processed in accordance with applicable laws and firm policies.
  • Track return-to-work dates, statuses, and deadlines related to leaves and accommodations in HR systems (ServiceNow, Workday) and other case management tools, and take appropriate action as needed.
  • Coordinate with payroll to ensure the accuracy of leave-related payments and benefit adjustments.
  • Act as a liaison between firm members, managers, internal stakeholders, and third-party suppliers to facilitate return-to-work reintegration and the implementation of appropriate workplace accommodations.
  • Provide expertise in disability and accommodation processes, while identifying opportunities to improve the experience of firm members and leaders.
  • Maintain data integrity and confidentiality throughout the leave and accommodation process.
  • Manage maternity, paternity, parental, caregiver, and compassionate care leaves firm-wide. Act as the primary point of contact for firm members and relevant stakeholders regarding any related requests, in accordance with applicable firm policies.

  • Support firm members at all stages of these leaves by providing information on programs and benefits, and by collecting the necessary information to ensure smooth transitions.
  • Oversee and calculate supplementary leave benefits (maternity, paternity, parental, caregiver, and compassionate care), and coordinate with payroll to ensure the accuracy of payments and benefit adjustments.
  • Liaise with firm members, managers, payroll, benefit providers, and external stakeholders to facilitate communications and information flow related to leave management.
  • Monitor leave schedules and return-to-work dates in HR systems (ServiceNow, Workday) and other tracking tools, while supporting effective employee reintegration.
