About The Position

The Social Services Administrative Assistant performs and/or oversees a variety of associated administrative and clerical tasks required to manage and distribute information within an office setting. The Administrative Assistant ensures the efficient day-to-day operation of the Social Services Department and provides support to the work of the departmental management and staff.

Requirements

  • Diploma in Office Administration OR Equivalent with a minimum of two (2) years Administration/Clerical work experience OR A Minimum of five (5) years’ experience in an office environment.
  • Excellent computer skills with experience in the use of MS Office software and database software
  • Valid Class “G” driver’s license related field

Responsibilities

  • Analyze incoming and outgoing memoranda, submissions and reports, and prepare and coordinate the preparation ad submission of summary briefs and reports to the Director of Social Services
  • Greet visitors, ascertain nature of business and direct visitors to employee or appropriate person
  • Answer telephone and electronic inquires and relay telephone calls and messages
  • Provide administration support to the Director of Social Services
  • Draft and edit correspondences on behalf of the Director of Social Services and/or managers of the Social Services Department
  • Responsible for preparation, receiving and delivery of correspondences to and from the Social Services Department
  • Ensure all financial request relating to the Social Services Department are processed and filed properly
