About The Position

The Skills Training Center (STC) Coordinator is responsible for supporting Energy Delivery by performing coordination, technical support and managing various ongoing projects and programs governed by multiple jurisdictions and regulatory bodies . Performs a variety of assignments related to business system processes and supports forecasting of training program costs, equipment, and materials, and assist leadership in planning for future resource needs. Apply knowledge of the regulations for training programs. Supports procurement and financial workflows, including purchase requisitions, vendor coordination, invoice processing, and compliance with internal financial controls and procedures. Tracks and reports key operational metrics, schedules training events, coordinates logistics, and responds to internal and external inquiries. Applies judgment within established guidelines to resolve issues of routine to moderate complexity. Serve as the primary point of contact for the demonstration trailer including scheduling and event planning.

Requirements

  • High school diploma or GED equivalent.
  • 5 years related work experience including some project management, familiarity with internal budgets and schedules, review and approval of invoices and internal processes, preparation of presentations, variance analysis, project reforecasts, tracking of budgets and data extraction, and reporting.
  • Knowledge of the regulations cover by department training programs.
  • Excellent organizational and communications skills with the ability to work well and frequently with internal and external parties.
  • Must be self-motivated and possess strong organizational and analytical and project-related organizational and planning skills to ensure the successful coordination of multiple priorities and assignments.
  • Must possess strong computer skills and a demonstrated proficiency in Microsoft Office Suite: Word, Excel, PowerPoint, and Access.
  • Must possess the verbal and written communication skills necessary to interface with both internal and external constituents.

Nice To Haves

Responsibilities

  • Manages the Live Line Demonstration Trailer program.
  • Coordinate with both internal and external POC’s in relation to scheduling and event planning, includes up to internal officer engagement and officers of outside entities like Sheriffs dept, fire dept, hospitals, Boy scouts.
  • Maintain records of usage, attendance and impact metrics involving coordination with ED Service Area Managers and covered team members, organizing schedules and avoiding conflicts with union team members and grievances and selecting participants.
  • Ensure sufficient event coverage and close coordination with crew supervisors.
  • Responsible for all trailer budgetary concerns and recording overtime hours as needed.
  • Serves as the primary point of contact for STC and ED Budget Lead.
  • Prepare and process documentation following required procedures, company standards, and regulatory compliance.
  • Serve as the primary POC for training completeness and compliance.
  • Check documents for accuracy, completeness and compliance, while cross-referencing information as needed.
  • Support the needs of all trainers before, during, and after classes.
  • Assist in the evaluation and implementation of new e-learning technologies and tools as they relate to Electric Delivery.
  • Serve as a point of contact for the entire company for coordination of training activities and workflow with team to ensure efficient implementation and completion of classes, and for other large corporate meetings and union meetings.
  • Schedule and prepare all classroom documents for all apprentice classes, annual compliance, substation safety awareness, and switching and tagging programs/classes.
  • Reserve classrooms/conference rooms for all training as needed.
  • Place telecom, facilities and IT service requests for classroom training needs.
  • Serve as a primary point of contact to assist with annual storm preparation for team member and retirees and storm restoration duties.
  • Serve as main POC for any regular training audits that are conducted and require remedial action plans.
  • Update STC MS Access database, team member training records in SAP and the switching & tagging list to reflect current trained personnel access.
  • Process and obtain proper authorizations for certificates of achievement.
  • File and record all end of class documents, ensuring accurate and logical organization.
  • Control confidentiality of files as necessary.
  • Maintain records according to records retention rules.
  • Perform all necessary company onboarding steps for all new apprentices.
  • Review and record time for service area apprentices into payroll systems (WorkPro & SAP).
  • Apply IBEW bargaining agreement provisions for hours worked, call out and other pay related items.
  • Correct attendance codes in the payroll system.
  • Ensure proper charges to accounts, run bi-weekly payroll reports and obtain proper signatures within stated timeframes to meet Sarbanes/Oxley requirements.
