About The Position

The Site Office Clerk performs clerical / office duties requiring knowledge of basic office systems and procedures. Clerical duties may be assigned in accordance with the office procedures of individual locations and may include a combination of answering telephones; opening, sorting, and distributing mail; filing; and basic word processing. Perform all other duties as required.

Requirements

  • High School Diploma or equivalent.
  • Minimum 5 years of experience working in an administrative assistant role or other relevant experience
  • Advanced knowledge of MS Office and other related software skills required; Advanced skills in operating a personal computer, various printers, scanners, and other office equipment are necessary.
  • Excellent communication skills, both written and verbal.
  • Able to read and comprehend instructions and write correspondence and memos.
  • Strong organizational, multitasking, attention to detail, and interpersonal skills.
  • Able to work well with all levels of internal management and staff as well as clients
  • Organizational Level: B2
  • Reports to: Project Manager

Responsibilities

  • Answer the telephone, take, and relay messages, and address routine and non-critical issues or routes to the appropriate person.
  • Compile, copy, sort, and file records of office activities, business transactions, and other activities for the project site.
  • Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.
  • Compute, record, and proofread data and other information, such as records or reports.
  • Maintain and update filing, mailing, and database systems.
  • Open, sort and route incoming mail, answer correspondence, and prepare outgoing mail.
  • Review files, records, and other documents to obtain information to respond to requests.
  • Assist with site payroll data entry generation
  • Assist site quality department with inspection reports
  • Maintain site safety records
  • Assist with P-Card administration
  • Assist with employee hire-on and termination paperwork and badging
  • Maintain document binders – drawing revisions, basic document control
  • Daily site warehouse visit, deliveries collection
  • Others, as needed
