Requirements

Bilingual (Spanish) strongly preferred

Must be willing to work on holidays and Saturdays as needed

Responsibilities

Receive, sort, and distribute incoming mail and packages daily
Scan and upload all mail into the Cerenade system accurately and promptly
Notify team members of incoming mail and case documents via email
Communicate with clients to confirm and remind them of scheduled appointments
Support the legal secretary by assisting with phone lines and taking messages as needed
Greet and assist walk-in clients professionally and courteously
Provide general clerical assistance to the legal team, including copying, scanning, filing, and organizing case files
Assist with preparing outgoing mail, postage, and document handling
Maintain a clean and organized front office and mailroom area
Assist with the inventory of office and mailing supplies as needed
Be flexible and willing to work on Saturdays and holidays as required
Contact clients by phone, email, or text to request and follow up on required documents.
Schedule appointments with clients to collect and review documents.
Meet with clients in person to receive documents and ensure files are complete.
Organize, scan, and upload documents into the firm’s case management system.
Maintain accurate client records and update case notes as needed.
Communicate with legal assistants and attorneys regarding missing or pending documentation.
Provide general administrative support, including filing, copying, and document preparation.
Maintain confidentiality of client information and comply with office procedures.
