About The Position

Custom Truck One Source (CTOS) is seeking a Service Writer to join their team at their Grass Lake, Michigan location. This role is responsible for providing quality products to customers in a timely and cost-efficient manner. CTOS is a leader in specialized truck and heavy equipment solutions, offering a comprehensive range of services including sales, rentals, parts and service, equipment customization, remanufacturing, financing, and asset disposal.

Requirements

  • Must be able to work in a fast-paced environment, set priorities, and adapt to changing work priorities
  • Must be self-sufficient and driven, meeting deadlines and schedules
  • General aptitude in working with common computer software (MS Office Suite, internet, etc.) to process orders.
  • Knowledge of inventory software (M3, etc.) to process repair orders.
  • Must be able to communicate effectively and professionally, both verbally and in writing.
  • This job requires "people" skills and a genuine desire to service the client.
  • A positive attitude and willingness to maintain a professional demeanor with clients and team members is essential to this position
  • Ability to work with basic mathematical concepts. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems

Nice To Haves

  • Knowledge of aerial vehicles, equipment and heavy & light duty trucks a preferred.

Responsibilities

  • Identify problems and services by listening to customer's description of symptoms and clarifying the description of problems.
  • Verify warranty and service contract coverage by examining records and papers, and explaining provisions.
  • Develop estimates by costing materials, supplies, and labor, and calculating customer's payment, including deductibles.
  • Contact fleet management companies that require authorization to start work or require estimates before authorizing repairs.
  • Prepare repair orders (RO) by describing symptoms, problems, and causes discovered, as well as repairs and services required; obtaining approval signatures; and entering RO into the service database system.
  • Assist with scheduling work and issuing work to Service Technicians.
  • Maintain customer rapport by explaining estimates and expected return of vehicles; obtaining customer's approval of estimates; obtaining and providing contact telephone numbers; answering questions and concerns; and arranging towing and temporary transportation.
  • Update job knowledge by participating in educational opportunities and reading manufacturers' information.
  • Communicate with the parts department to determine and locate part numbers for units.
  • Call customers to inform them when equipment is ready for pickup.
  • Process invoices and payments for service repairs.
  • Create and maintain a safe working environment.
