About The Position

The Service Partner Coordinator is responsible for sourcing, qualifying, onboarding, and managing service partners (subcontractors) that support commercial landscaping, snow removal, parking lot maintenance, and other exterior property services. This role develops strong vendor relationships, negotiates service agreements and pricing, ensures subcontractor compliance, and supports the successful execution of services across multiple markets. In addition to procurement responsibilities, the Service Partner Coordinator serves as the primary administrative liaison between service partners and internal departments. This includes managing work order documentation, verifying completed services, coordinating subcontractor payments with the Finance Department, maintaining accurate records, and providing timely communication to ensure an exceptional client experience. The Service Partner Coordinator plays a critical role in maintaining a dependable network of qualified service partners capable of delivering safe, consistent, and high-quality services that meet company standards and client expectations.

  • 1–3 years of experience in procurement, vendor management, operations coordination, or subcontractor management within facilities management, landscaping, snow removal, construction, or related industries preferred.
  • Experience negotiating pricing and service agreements with vendors or subcontractors is a plus.
  • Understanding of commercial landscaping, snow removal, or parking lot maintenance services preferred.
  • Bachelor’s degree in Business, Supply Chain, Operations, or related field preferred but not required.
  • Experience working with multi-site commercial service operations is a plus.

Responsibilities

  • Source, recruit, and qualify subcontractors for landscaping, snow removal, irrigation, parking lot maintenance, and related exterior services.
  • Negotiate pricing, service agreements, and contract terms that align with company objectives.
  • Build and maintain long-term relationships with service partners across assigned markets.
  • Develop backup service partner coverage to minimize service interruptions.
  • Monitor service partner performance and address quality or operational concerns.
  • Ensure all required insurance certificates, licenses, W-9s, and compliance documents remain current.
  • Create, assign, and monitor work orders for subcontracted services.
  • Track work order progress from assignment through completion and closeout.
  • Verify services have been completed accurately through photos, documentation, client feedback, and internal quality assurance processes.
  • Resolve discrepancies between work performed and work ordered.
  • Maintain accurate records within the company's operating systems.
  • Review subcontractor invoices for accuracy and compliance with agreed pricing.
  • Coordinate with the Finance Department to ensure timely processing of subcontractor payments.
  • Investigate and resolve invoice discrepancies or payment issues.
  • Assist with budget tracking and cost management for subcontracted services.
  • Serve as the primary point of contact for service partners regarding scheduling, work orders, service expectations, and performance.
  • Communicate proactively with Operations, Account Managers, Sales, and Finance regarding service status and subcontractor activity.
  • Escalate service issues promptly and assist in coordinating timely resolutions.
  • Support seasonal planning efforts by ensuring adequate subcontractor coverage during peak landscaping and snow operations.
  • Ensure service partners understand and comply with company safety standards and client-specific requirements.
  • Monitor subcontractor performance against key performance indicators (KPIs).
  • Maintain organized vendor files and documentation.
  • Support audits and compliance reviews as needed.
