Requirements

  • At least 2 years of dispatching, scheduling, or service coordination experience in a field-service trade such as HVAC, plumbing, electrical, or mechanical, or in a comparable logistics environment.
  • Ability to remain calm and decisive under pressure while managing a full dispatch board and high phone volume without overlooking details.
  • Strong attention to detail and willingness to hold field technicians accountable to documentation standards.
  • Proficiency with field-service management software and CRMs, and ability to adapt quickly to new digital tools.
  • Positive, team-oriented communication skills and a detail-oriented, adaptable mindset.

Nice To Haves

  • Direct trade experience or familiarity with HVAC and plumbing terminology, parts, and job rhythms.
  • Hands-on experience with field software such as ServiceTitan, FieldConnect, BuildOps, XOi, or PipeDrive.
  • Geographic and routing knowledge of the Wasatch Front and surrounding service areas.

Responsibilities

  • Own and prioritize the service dispatch board, including reactive service calls and preventative maintenance schedules.
  • Assign jobs to technicians based on customer priority, technical skills and certifications, and geographic location.
  • Enforce work-order quality standards and return incomplete tickets to technicians for missing photos, customer checkout, or receipts before sending completed files to billing.
  • Handle customer inquiries and job-status updates, and confirm visits 24 hours in advance.
  • Manage technician time-off calendars, track certification expirations, administer on-call rotations, and flag possible coverage gaps.
  • Enter every quote and opportunity into the CRM within one business day and maintain organized customer and job records.
  • Coordinate with field technicians about diagnostics and parts arrival estimates to determine whether to hold tickets or use split billings.
  • Communicate professionally and warmly with customers, field technicians, and internal teams.
