About The Position

Kirksville Motor Company is looking to add a Service Department Dispatcher to our team. Applicants must be confident, motivated, energetic, and organized. They must also have excellent time management skills along with a positive attitude. Applicants must be able to put the customer first in everything they do. The Service Dispatcher oversees all technicians to ensure repair orders are completed in a timely manner. Maintaining appropriate workflow in the shop is of utmost importance. Opens repair orders for all service work and coordinates scheduling with technician availability. Requirements

  • Must be 18 or over in order to be covered by KMC’s Auto Insurance
  • 2 years of automotive dealership experience
  • Must have one year of previous customer service experience
  • High School Diploma or equivalent, 2-year or 4-year Business Degree or related field preferred
  • Previous industry knowledge, Sales or Service experience
  • Excellent communication skills
  • Excellent customer service
  • Proficient in typing and computer skills
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals; write routine reports and read and understand computers
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; ability to compute rate, ratio, and percent
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization and effective computer skills
  • Ability to understand and define problems, collect data, establish facts, and draw valid conclusions
  • Professional personal appearance
  • Must perform duties and responsibilities in a safe manner
  • Must speak and write English fluently; Spanish fluency is optional but beneficial
  • Valid in-state driver's license

Responsibilities

  • Dispatch repair orders to the proper technician in a timely manner
  • Maintain appropriate workflow in the shop to ensure all work is completed on time
  • Oversee used car reconditioning process from start to finish in the expected amount of time. Have the vehicle ready for the lot by the deadline
  • Liaison between Used Car Manager and Service Department
  • Create accurate estimates and obtain approval for repairs for used vehicles
  • Coordinate customer repairs on all We-owes and “after the fact” We-owes
  • Keep required Google Docs lists up-to-date
  • Track open RO list and follow up daily
  • Supervise all technicians and make sure they are on task

  • Communicate with service customers to determine the nature of the mechanical problems
  • Secure agreement from customers before repairs; cover cost estimate; and approximate time when vehicle's work will be completed
  • Obtain customer and vehicle data
  • Test drive the vehicle with the customer if there is any question regarding the nature of the problem
  • Schedule appointments using dealership-approved forms
  • Advise customers on the care of their cars and the value of maintaining their vehicles in accordance with manufacturer's specifications, using the maintenance menu
  • Keep a daily log of repair orders written, status as well as carryovers
  • Handle minor customer complaints and misunderstandings
