About The Position

Bane Machinery is the authorized distributor for several major construction equipment manufacturers including Kobelco, Link-Belt Excavators, Hitachi, Dynapac, Rokbak Trucks and Liebherr. The Service Coordinator - Preventive Maintenance, tracks and updates PM service information, schedules and coordinates PM jobs through daily customer communication, and ensures PMs are completed on time while minimizing downtime and maximizing equipment availability. This role also maintains accurate daily records of labor time, parts, supplies, purchases, warranties, and oil analysis.

Requirements

  • High school diploma or equivalent; additional technical or administrative training is a plus.
  • Previous experience in service coordination, customer service, or related administrative roles, preferably within the heavy equipment or construction machinery industry.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication skills, both verbal and written, with a customer-focused approach.
  • Proficient in using scheduling software, Microsoft Office Suite, and other relevant computer applications.
  • Ability to work collaboratively with cross-functional teams and manage multiple priorities effectively.
  • Knowledge of preventive maintenance processes and equipment service standards is advantageous.
  • Reliable, proactive, and able to work independently with minimal supervision.

Responsibilities

  • Schedule and coordinate preventive maintenance appointments with customers and service technicians.
  • Manage and maintain preventive maintenance service agreements and contracts.
  • Ensure timely and accurate documentation of maintenance activities and service records.
  • Collaborate with Parts, Service, and Sales departments to streamline maintenance processes and customer communications.
  • Follow up with customers to ensure satisfaction and address any concerns related to preventive maintenance services.
  • Assist in generating reports related to preventive maintenance activities and performance metrics.
  • Support the Service Department by tracking and maintaining the preventive maintenance calendar and ensuring efficient resource allocation.
  • Drive improvements in PM Department efficiency and customer retention.
