About The Position

Cleveland Brothers, the largest Cat® dealer in Pennsylvania, northern West Virginia, and western Maryland, has an immediate opportunity for a Planned Maintenance Coordinator. The Cleveland Brothers Equipment Management Services team supports customers by coordinating planned maintenance, inspections, fluid analysis, and equipment monitoring services for Caterpillar and competitive equipment. We work closely with customers, sales teams, and internal support teams to ensure our customers are successful by improving overall fleet performance through proactive service planning and operational support. The Planned Maintenance Coordinator supports planned maintenance and contracted service programs by preparing accurate maintenance quotes, coordinating with internal departments, and following up with customers and Product Support Sales Representatives. This role helps ensure planned maintenance opportunities are quoted accurately, parts and service needs are aligned, and customer requests are handled in a timely and professional manner. The position requires strong attention to detail, effective communication, and the ability to work across multiple systems and teams to support customer maintenance programs and overall service growth.

Requirements

High school diploma or equivalent required
Proficient computer skills and comfort working across multiple systems and software platforms
Good communication and follow-up skills with both internal teams and external customers
Ability to work independently in an office environment while also collaborating across departments
Must be able to safely follow all company safety procedures

Nice To Haves

associate degree or higher is preferred
Strong experience in customer support, quoting, service coordination, parts support, or a related role preferred
Ability to manage multiple tasks accurately, ensuring a strong attention to detail and ensure a positive customer experience
Basic knowledge of equipment maintenance, parts, or service operations is preferred

Responsibilities

Utilize Caterpillar proprietary software and other web-based applications to support maintenance planning and quoting
Follow up with customers and Product Support Sales Representatives on planned maintenance opportunities and quote activity
Coordinate with internal departments to support parts fulfillment, service planning, and quote accuracy
Help ensure planned maintenance quotes align with customer needs, machine requirements, and program expectations
Maintain organized records and documentation related to quoting activity and customer follow-up
Communicate professionally and effectively with customers and internal teams daily
Support additional Equipment Management Services functions or provide backup coverage for related roles as needed
