About The Position

The Service Center Coordinator plays a crucial role in supporting the Services Team by managing and coordinating service repairs, spare parts, and ensuring efficient operations. This includes gathering requirements for finished goods and spare parts and managing product returns to vendors for repair. This role requires close collaboration with Service Technicians, Logistics, Service Planners and Customer Care and across regions to ensure smooth coordination of service inventory and repair activities. This role is based in our Costa Mesa, CA office and requires employees to work onsite.

Requirements

  • A.A. Degree in general education or management
  • 3+ years of experience in customer service and/or material/inventory planning.
  • Work experience in planning material in a service center environment.
  • Ability to work onsite full-time in our Costa Mesa, CA office.
  • Improve Service Center productivity, efficiency, and customer experience by identifying process improvements and resolving service, inventory, and operational support needs.
  • Use Microsoft Office, Oracle, Salesforce, and AI prompts to support documentation, reporting, communication, workflow analysis, and problem-solving.
  • Communicate professionally with internal teams, external Service Centers, and regional partners while managing priorities, follow-up, and commitments across functions.
  • Work independently, adapt to new tools and processes, and perform physical duties, including lifting up to 50 lbs and standing for extended periods.

Nice To Haves

  • 2+ years experience working with Oracle, Salesforce or similar platforms, such as SAP, is preferred.

Responsibilities

  • Perform system transactions, including the movement of spare parts, and serviceable and non-serviceable items.
  • Manage the return-to-repair workflow for serviceable items and collaborate with the Corporate Service Parts Coordinator for the return-to-corporate workflow of non-serviceable items.
  • Work with OEM to schedule RMA for outsource repairs and then return back into inventory.
  • Develop and manage return to vendor workflow for no service items. Follow up on repair order status.
  • Oversee the local spare parts room to ensure proper inventory management.
  • Maintain accurate records of all equipment and parts received and distributed.
  • Identify process and system gaps to improve operational efficiency.
  • Collaborate with the Supply Master Planner/Scheduler to align planning strategies. Monitor the status of vendor purchase orders, maintain records of open and closed service purchase orders/ Internal sales order, and reconcile receipts against purchase orders as needed.
  • Partner with the Supply Master Planner/Scheduler to resolve parts supply and availability issues related to open and planned Purchase Orders (POs) and work orders, ensuring timely communication of service parts availability and estimated delivery time to the Service Center, Service Partners and Customer Care teams.
  • Partner with the Supply Master Planner/Scheduler to generate the IDR as needed.
  • Collaborate with the Parts Service Specialist on incoming new spare parts orders and address any issues related to spare parts.
  • Support internal and external Service Centers through inventory oversight, weekly audits, inventory reconciliation, and Oracle receiving support.
  • Coordinate unit reclassification, packaging, and labeling to ensure accurate material handling and consistent workflow execution.
  • Facilitate movement of units to OEM partners when escalation or specialized repair is required.
  • Maintain clear handoffs, accurate tracking, and continued service continuity across Service Center operations.
