About The Position

Ackerman Plumbing is seeking an experienced and driven Service Administrator to be the operational backbone of our Commercial Plumbing Division. This role is crucial for ensuring that operations run smoothly and nothing falls through the cracks. The company has a strong legacy, being in business since 1946 and known for providing expert craftsmanship across various large-scale projects like hospitals, hotels, educational institutions, and museums. Requirements

  • 2–4 years of administrative or operations experience, ideally in trades, construction, or service industry
  • Microsoft Office Suite (Outlook, Word, Excel)
  • Strong verbal and written communication skills — comfortable with customers, vendors, and inspectors
  • A “fill-the-gap” mindset — able to identify what needs to be done and take ownership without waiting to be told

Nice To Haves

  • Sage Field Operations experience a plus
  • Prior experience with permitting, billing support, or job cost tracking preferred

Responsibilities

  • Answer inbound customer calls professionally, provide status updates, and follow up on open items and pending approvals.
  • Review completed and in-progress work orders for accuracy — verifying labor hours, materials, job notes, and technician sign-offs before orders are closed.
  • Prepare and submit permit applications to local municipalities; track status, coordinate inspections, and maintain permit logs through job completion.
  • Process material and supply requests; place purchase orders with vendors, confirm pricing and delivery timelines, and coordinate job site deliveries.
  • Support billing and invoicing by compiling job information, coordinating with accounting, and tracking outstanding items.
  • Monitor open work orders and service tickets to identify and resolve items at risk of falling through the cracks.
  • Maintain organized records, logs, and files to support department accountability and efficiency.
  • Identify process gaps and proactively communicate them to leadership.
  • Perform other duties as assigned to support overall department and company success.
