About The Position

The Hiller Companies, LLC has an immediate opening for a Service Administrator. This role is a critical support position for the Service Manager and Service Coordinators, aiming to enhance communication within service teams, ensure timely job completion, and maintain proper documentation for all field work. The Service Administrator also acts as the main point of contact for 3rd party portals, ensuring compliance with customer and municipality requirements.

Requirements

  • High School Diploma/GED required.
  • 2+ years of customer service experience required.
  • Confident personality to negotiate with outside organization contacts.
  • Excellent oral and written communication skills.
  • Proficient computer skills, including MS Office Programs.
  • Track record of learning and mastering new programs.
  • Strong record-keeping skills.
  • Strong analytical skills.

  • Prior service department experience preferred, ideally in life and safety, and/or security and communications industry.

Responsibilities

  • Receive overflow service calls to enhance customer experience.
  • Provide backup support to service coordinators for scheduling services.
  • Review completed jobs, verifying technician inventory and accurately assigning material costs.
  • Manage and complete service tasks efficiently, collaborating with service coordinators.
  • Maintain and process inspection documentation during job completion.
  • Assist the Service Manager in tracking and resolving jobs reopened due to missing information.
  • Aid Service Coordinators in processing purchase orders and ordering materials.
  • Communicate to sales teams when a quote is needed, identified during a service call.
  • Serve as the point of contact for all 3rd party portals (e.g., IROL).
  • Request work order extensions in customer portals as required.
  • Assist with customer setup needs.
  • Send proforma invoices to customers to facilitate purchase order issuance.
  • Identify opportunities for additional service line sales by communicating with the sales team.
  • Complete special projects as required.
  • Suggest improvements for general procedure efficiency.
  • Assist with sending quotes to existing customers needing current quotes for purchase orders.
  • Assist with researching and updating quotes for existing house customers.
  • Develop positive and ongoing relationships with customers and team members.
  • Perform other duties as assigned.
