We are seeking a highly skilled and collaborative Knowledge Management (KM) Specialist to join our HR team. In this role, you will act as the bridge between our HR Centers of Excellence (COEs) and our global employee base. You will be responsible for curating, writing, and maintaining clear, accurate, and engaging knowledge articles for our HR intranet portal. Workforce spans 40+ countries, which requires global mindset, ensuring that HR content is culturally appropriate, compliant, and localized where necessary. The candidate is expected to have deep HR domain knowledge, exceptional native-level English writing skills, and a data-driven approach to content governance and portal technology.

Requirements

  • Solid understanding of HR policies, procedures, benefits, and employee lifecycle processes.
  • Bachelor’s Degree in English, Communications, Human Resources, Information Management, Library/Information Science, or a closely related field.
  • Native-level written and verbal English proficiency (U.S. standards). Ability to write clearly and empathetically for a diverse, global employee audience.
  • Proven ability to navigate, respect, and design content for multi-country and multicultural audiences across various time zones.
  • Experience working with modern Knowledge Management Systems (KMS), Content Management Systems (CMS), or HR Service Delivery portals (e.g., MS Dynamics 365, ServiceNow, SharePoint, Confluence, Workday etc).
  • Ability to use data and portal analytics to drive content strategy, measure article effectiveness, and implement continuous improvement.
  • Advanced proficiency in creating structured documentation and visually engaging, professional presentations (e.g., MS PowerPoint, Mac Keynote, MS Word).

Nice To Haves

  • Proficiency in one or more languages other than English is highly advantageous (e.g., Spanish, German, French, Portuguese).
  • A Master’s degree in Human Resources, Organizational Communication, or Information Science is a strong plus.

Responsibilities

  • Partner closely with HR COEs (Total Rewards, Talent Acquisition, Employee Relations, etc.) to translate complex policy documents, program guidelines, and process maps into user-friendly knowledge articles.
  • Advise stakeholders on best practices for knowledge organization and information architecture, supporting departments in structuring complex HR policies into intuitive, easily digestible formats.
  • Manage the end-to-end lifecycle of HR content across 47 countries, ensuring localization requirements are met while maintaining consistent global brand standards and tone.
  • Develop and maintain guidelines for creating content that meets global accessibility standards (e.g., WCAG) and addresses diverse employee needs.
  • Write, edit, and proofread portal content to ensure it is clear, concise, and engaging.
  • Ensure all written content meets the highest standards of U.S. native English writing.
  • Maintain and optimize the HR intranet portal structure. Implement and enforce robust knowledge management governance, ensuring content is regularly reviewed, updated, and archived.
  • Actively participate in system upgrades, platform migrations, and enhancement projects. Help evaluate and test new knowledge management tools, features, and technologies.
  • Monitor portal usage patterns, search analytics, and article ratings to identify knowledge gaps and continuously improve content findability.
  • Generate regular reports on content performance metrics, tracking user engagement and overall employee satisfaction with portal resources.
  • Identify concrete content improvement opportunities based on data-driven insights and direct employee feedback to optimize the overall user experience (UX).
  • Develop high-quality documentation, user guides, and professional presentations to communicate KM strategies, portal updates, or training materials to HR stakeholders and leadership.
  • Document system processes and create training materials for content contributors and publishers across the global HR department.
