About The Position

This role involves managing electronic health records (EHR), specifically Epic, and ensuring HIPAA compliance. The Senior Specialist will process requests for medical information, handle customer service, manage incoming mail, verify authorizations, request historical records, and prepare correspondence. They will also perform quality assurance monitoring of HIMS Specialists, report findings to the HIMS Supervisor, act as a resource, and complete ad-hoc projects. Additionally, this role involves training new staff and students, supporting patient safety through documentation integrity and regulatory compliance, and coordinating the flow of patient health information in both paper and electronic formats. The position requires analyzing patient information for compliance with Federal/State, Joint Commission, and CMS regulations, coordinating with clinicians, developing institutional policies, utilizing analytical and critical thinking skills, and working independently with minimal supervision. Adherence to guidelines for accessing minimum necessary information and state/federal privacy rules is crucial. The role leverages technology, assists in developing HIMS operational teams, and requires professional communication across all methods, ensuring excellent customer service for patients, providers, and external entities. This is a hybrid position, primarily remote, requiring candidates to reside within 100 miles of a Mayo Clinic campus for occasional on-site needs. Sponsorship is not available for this position. Requirements

  • Associate’s degree in Health Information Technology.
  • Health Information Technician (HIT) program students actively completing the last semester of the program will be considered; successful completion of HIT program required within 6 months of employment for continued employment.
  • Demonstrated understanding of Joint Commission standards, State Regulations, and CMS requirements.
  • Knowledge of medical records format and content.
  • Ability to perform work in a fast paced, constant change, production environment with a focus on quality.
  • Excellent customer service skills.
  • Ability to clearly, concisely and professionally communicate verbally and in written forms.
  • Demonstrated ability to maneuver in multi technology environment.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) applications.
  • Keyboarding skills required with intermediate typing/keyboard/computer skills.
  • Versed in government regulatory and legal healthcare requirements to protect the patient and organization.
  • Demonstrated medical terminology knowledge.
  • Basic project management skills.
  • RHIT or RHIA certification required.

Responsibilities

  • Comprehensive processing of all types of requests for medical information.
  • Customer service for walk-ins.
  • Opening and processing incoming mail.

  • Completion of quality assurance monitoring of the work performance of HIMS Specialists and reporting findings to the HIMS Supervisor.
