About The Position

The HIMS Specialist role involves comprehensive processing of continuation of care and patient-directed requests for medical information. This includes handling customer service for walk-ins, managing incoming mail, verifying authorizations, requesting historical medical records, and preparing correspondence. The position requires knowledge of electronic health records (EHR), preferably Epic, and a basic understanding of medical terminology. The candidate will analyze patient information to ensure compliance with Federal/State, Joint Commission, and CMS regulations, coordinate with clinicians for timely documentation, and adhere to institutional policies. This role utilizes analytical and critical thinking skills, works independently with minimal supervision, and adheres to guidelines regarding minimum necessary information access and privacy/confidentiality rules. The position leverages technology, requires professional communication, and ensures excellent customer service when interacting with patients, care providers, allied health staff, attorneys, insurance companies, and government auditors. This is a hybrid position, primarily remote, with the requirement that candidates reside within 100 miles of a Mayo Clinic campus for occasional on-site needs.

Requirements

  • Knowledge of an electronic health record (EHR), Epic preferred.
  • Basic understanding of medical terminology.
  • Associate of Science degree in a healthcare related discipline required (i.e., applied health sciences A.S. degree).
  • Must possess knowledge of medical records format and content.
  • Must be able to perform work in a fast paced, constant change, production environment with a focus on quality.
  • Must possess excellent customer service skills.
  • Must be able to clearly, concisely and professionally communicate verbally and in written forms.
  • Demonstrated ability to maneuver in multi technology environment.
  • Demonstrates proficiency in Microsoft Office (Excel, Word, and Outlook) applications.
  • Intermediate typing/keyboard/computer skills.

  • Associate of Science degree in Health Information Technology preferred.
  • Health Information Technology (HIT) program students actively completing the last semester of their associate degree program will be considered; successful completion of HIT Associate degree is required within 6 months of hire date for continued employment.
  • Registered Health Information Technician (RHIT) or Registered Health Information Administrator (RHIA) preferred.
