The Senior Site Administrative Coordinator will provide administrative and logistical support across Sales, Marketing, Contracting, and the General Manager, ensuring smooth day-to-day operations within this dynamic international organization.

Requirements

  • At least 3 years in an administrative capacity
  • Demonstrated Microsoft Office Suite skills, specifically Word, Excel and PowerPoint
  • Superior organization and interpersonal skills
  • Experience in planning events and procurement required
  • Availability to work on-site 3 days per week, during normal business hours
  • Proactive and solutions focused
  • Professional, Approachable and service orientated
  • Able to work independently and as par to a team
  • Strong communication skills
  • Ability to multitask and deal with competing priorities
  • Adaptable and willing to take on a varied workload in a dynamic international organization

Nice To Haves

  • Third Level Diploma or bachelor’s preferred
  • ERP (Oracle) and iProc experience preferred

Responsibilities

  • Provides administrative and logistical support across Sales, Marketing, Contracting, and the General Manager, ensuring smooth day-to-day operations
  • Serves as the primary coordinator for sales meetings, customer engagements, marketing activities, and client visits
  • Coordinates internal and external events, trade shows, and promotional activities, ensuring seamless execution
  • Supports local payment processing via iProc, and related administrative workflows
  • Supports execution of marketing campaigns and initiatives, including coordination, tracking, and administrative follow-up
  • Organizes meetings, prepares agendas, captures minutes, and ensures timely follow-through on action items
  • Manages expense reporting and administrative support for the General Manager and leadership team as needed
  • Maintains and organizes marketing materials and customer-facing resources
  • Maintains strict confidentiality and discretion when handling sensitive business and personnel information
