About The Position

Under the overall supervision of the HRD Director and Deputy Directors, the Lead Administrative Coordinator supports the work of the HRD Front Office. This position plays a critical role in ensuring the smooth functioning of the front office operations and in supporting HRD senior management in a fast-paced, high-pressure, and sensitive operating environment. The successful candidate will provide full administrative support to the Director of HRD and HRD’s Deputy Directors including by independently maintaining systems that track documents, implementing administrative processes for the department, supporting mission or project teams, and interpreting and reinforcing Fund policies for staff members with sound judgment and utmost discretion. Additionally, the Senior/Lead Administrative Coordinator supervises junior colleagues and serves as a resource for technical and administrative guidance and participates on Fund-wide administrative committees and working groups, including those for technology reviews.

Requirements

  • Educational development, typically acquired by the completion of a high school diploma, or equivalent, supplemented by a minimum of eight (8) years of relevant experience, is required.
  • Demonstrated excellence in administrative, organizational, and coordination skills, with the ability to manage multiple competing priorities and deliver under significant time pressure.
  • Strong attention to detail and ability to apply institutional rules, policies, and procedures consistently and accurately.
  • Sound judgment, initiative, and strong communication skills, with the ability to operate effectively in a high-demand, fast-paced environment.
  • Excellent interpersonal and stakeholder management skills, with the ability to engage effectively with staff and external contacts at all levels.
  • Proven experience supervising and guiding support-level staff, including assigning, reviewing, and ensuring quality of work.
  • Strong ability to plan, organize, and prioritize work independently, manage simultaneous tasks, and meet tight deadlines with accuracy and reliability.
  • Good working knowledge of Fund-wide administrative practices, policies, and procedures.

Responsibilities

  • Provide high-level administrative and operational support to the HRD Front Office, ensuring continuity, accuracy, and timeliness across front office functions.
  • Manage front office workflows, coordinate competing demands, monitor deadlines, and ensure timely delivery of key outputs and management requests.
  • Draft, review, and circulate high-quality correspondence, briefing materials, memoranda, and internal communications; monitor incoming and outgoing communications, ensuring appropriate routing, follow-up, and resolution consistent with Fund standards.
  • Maintain and oversee tracking systems, records, and databases containing highly sensitive information, ensuring data integrity, confidentiality, and compliance with Fund procedures.
  • Coordinate and support Employment Practices (EP) workstreams, including sensitive administrative cases, appeals, and review processes, ensuring adherence to timelines and procedural requirements.
  • Serve as a key liaison across management offices, Executive Offices, and IMF departments, facilitating effective coordination, information flow, and alignment on priorities.
  • Support Fund-wide committees, senior review processes, and management clearance workflows coordinated through the HRD Front Office.
  • Compile, analyze, and synthesize data from administrative systems to support reporting, decision-making, and compliance monitoring.
  • Coordinate department-wide administrative processes and contribute to the continuous improvement of workflows, procedures, and operating efficiencies.
  • Share administrative policies and provide guidance to staff across the department, ensuring consistent understanding and application.
  • Anticipate and resolve competing priorities, exercising sound judgment and escalating issues where necessary to ensure effective outcomes.
  • Contribute to Fund-wide administrative committees and working groups, including those focused on process improvement and technology enhancements.
  • Support vendor/expert administration, onboarding processes, and budget tracking/reporting activities.
  • Perform other duties as assigned.
