About The Position

Boston University Sargent College of Health and Rehabilitation Sciences is a leading institution for health and rehabilitation sciences, serving over 1300 undergraduate and 600+ graduate students. The Senior Research Administrator, reporting to the Director of Research Administration, will manage a complex and diverse grant portfolio for the college. This senior role is part of a team of 3.0 FTE research administrators responsible for the entire grant lifecycle. The position will provide accurate, responsive, and service-driven pre-award and post-award services to a dynamic community of investigators working with various federal, state, and industry sponsors. The role involves actively supporting, collaborating with, and advising principal investigators (PIs), and acting as a liaison with central administrative offices such as the Office of Research and Office of Sponsored Programs to ensure efficient and timely management of all sponsored awards.

Requirements

  • Five or more years of professional experience in research administration at an R1 University or academic medical center.
  • Comprehensive knowledge of sponsor/university guidelines, policies, and procedures, including those of federal funding agencies such as NIH, NSF, ARPA-H, and DoD.
  • Proven ability to exercise independent judgment to ensure compliance with established university procedures and policies among the research community.
  • Strong professional knowledge of federal grants management systems, enterprise financial systems, query tools, or grants management tools.
  • Excellent technical skills to manage and learn new software platforms and financial reporting tools.
  • Excellent attention to detail and a service-oriented approach.
  • Strong organizational and time management skills with the ability to meet multiple deadlines and prioritize competing tasks.
  • Excellent verbal and written communication skills.
  • Skills to develop positive working relationships with internal and external stakeholders, faculty, administrators, and central administrative offices.
  • BA/BS required.

Responsibilities

  • Manage a complex and diverse grant portfolio for the college.
  • Provide accurate, responsive, and service-driven pre-award and post-award services for investigators.
  • Actively support, collaborate with, and advise principal investigators (PIs).
  • Serve as a liaison with central administrative offices, including the Office of Research and Office of Sponsored Programs.
  • Independently review and prepare grant proposals for submission.
  • Accurately interpret and review sponsor guidelines.
  • Develop budgets for grant proposals.
  • Draft administrative sections of grant proposals.
  • Collect necessary materials for grant submissions.
  • Review grant applications to ensure adherence to sponsor guidelines.
  • Obtain institutional review and approval for grant applications.
  • Monitor grant budgets.
  • Reconcile grant expenses.
  • Manage and monitor subawards.
  • Oversee effort certifications.
  • Prepare detailed financial projections and reports for grants.
  • Identify areas of over- or under-expenditure and suggest corrective actions.
  • Engage in contingency planning in a proactive manner.
