Under the direction of the Vice President, Real Estate Operations, administrate all documents, accounting, items of performance and compliance related to the companies Real Estate portfolio. Responsible for the overall accuracy of the lease databases, the interpretation and compliance of all leases and the timely payment of all lease related occupancy costs. Interface with landlords and others on payables and receivables and assist and coordinate with Real Estate personnel in negotiations for lease and owned property related administrative items, payments, reimbursements. Monitor and identify upcoming lease options, terminations and other real estate activity with Real Estate Team. Collaboratively compile and administrate any contractual sales reporting and percentage rent obligations. Lead the efforts to reduce Landlord reconciled expenses by reviewing annual CAM and Tax billings and verifying expenses and take such actions necessary to resolve any outstanding disputes in these areas. Seek second level review from Real Estate personnel as needed. Work closely with Real Estate Team and Legal to assure that Amendments and Agreements document correct rental amounts and terms. Monitor and document Ownership transfers and assure new Landlords are set up in payables database for future rent payments. Maintain the Real Estate Document and Accounting Database and assure all payment and lease documentation is accurate and serve as Administrator for user access and rights. Perform regular account reconciliations, working with Landlord representatives and Belk Accounting personnel, to assure billings are correct and Belk payments and receivables are accounted for correctly. Coordinate with Belk Risk Management and Insurance Brokers to ensure all Landlords and owners have the correct insurance information and Belk records are correct and up-to-date. Work with Accounting and Finance partners to establish budgets and accruals for all Real Estate contracts, the timely pull rents and other property contract costs on a monthly basis in import form for payable process. Proactively audit Belk records to assure Rent and CAM payments are accurate and advise Real Estate Team and negotiate settlements when possible with Landlords when errors are found. Create and maintain accurate data spreadsheets for Rent and CAM Analysis, as well as other special needs spreadsheets as requested. Coordinate and help prepare reports and work on special projects as requested by GVP and VP for senior management. Collaborate with and assist other departments within Belk Stores Services, as well as the Divisions and all other management Associates, in exchanging critical information and data necessary for proper coordination and implementation of all Real Estate related activities and decisions. Manage all Real Estate communications and mail and track all documents and letters issued by the Real Estate Team until receipt confirmed and fully finalized including leases, amendments, notices, defaults, estoppels and SNDA’s.
