About The Position

We are seeking an experienced Lease Administrator to join our San Juan operations center. In this role, you will manage the end-to-end lease administration lifecycle for a portfolio of US retail locations — ensuring lease data accuracy, compliance with lease terms, timely rent and additional rent processing, and strong landlord communication. You will partner cross-functionally with Accounts Payable, Real Estate, Legal, and Facilities teams to resolve issues quickly and protect business interests.

Requirements

  • High attention to detail and strong follow-through
  • Strong knowledge of rent schedules, escalations, CAM/NNN, statement review, and annual reconciliations
  • Comfortable working with finance/AP processes and resolving payment exceptions
  • Clear, professional communication skills with landlords and internal stakeholders
  • Ability to manage competing priorities across a portfolio environment
  • Strong Excel skills for tracking, reconciliation, and reporting
  • Experience with lease management software, AP ticketing/case workflows, and accounting systems (Great Plains a plus)
  • Must currently reside in Puerto Rico
  • Authorized to work in the United States
  • Available Monday through Friday during standard business hours

Responsibilities

  • Abstract leases, amendments, renewals, and financial data into the lease management system
  • Maintain accurate lease records including key dates, dollars, options, escalations, and operating expenses
  • Review and reconcile landlord statements and budgets (CAM/NNN); update expense ranges and lease system data after verification
  • Manage annual reconciliation processes: validate parcels, GLA, taxes, track disputes, and escalate unresolved issues
  • Calculate and confirm base rent, additional rent, escrows, credits, abatements, TI credits, reimbursements, and security deposit credits per lease terms
  • Audit portfolio data (square footage, payees/remittance, escalations) to reduce errors
  • Partner with Accounts Payable to submit payment requests, resolve exceptions and returned payments, and ensure accurate payee/ACH setup
  • Serve as primary landlord contact for remittance changes, payment timing, documentation requirements, and issue resolution
  • Track defaults, coordinate late-fee waiver requests when appropriate, and maintain accurate ledgers and case documentation
  • Manage mail/document routing (statements, COIs, legal notices,utilities) to ensure timely handling and recordkeeping
  • Support vacates: track deadlines, issue vacate notices, confirm receipt, and update closure dates in the system
  • Provide continuous communication and follow-up with landlords regarding rental and lease obligations
