Job Summary Responsible for tenant billing and correspondence including the input, abstracting, and review of new, renewal, and specialty leases for a portfolio of properties; the set up and review of tenant cost recovery pools including the calculation of year-end reconciliations and estimates for common areas, taxes, and insurance; and handling billing disputes generated by these items

Requirements

  • Bachelor's degree (B.A./B.S.) from a four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience
  • Requires 1- 2 years of Lease Interpretation experience, such as a Lease Analyst or Lease Administrator
  • Advanced level of proficiency in Word, Outlook and Excel
  • Ability to handle a fast paced, deadline-driven environment
  • Ability to multi-task and prioritize assignments while delivering consistent, quality work
  • Strong analytical and communication skills
  • Ability to think independently while working within a group

Responsibilities

  • Maintain and add new and renewal leases in MRI (system of record) including abstracting square footage, categories and dates such as execution, commencement and expiration dates, set up renewal options, and recurring charges ensure billings are posted correctly. In addition, complete peer review of lease profiles after entry.
  • Create NNN recovery pools, calculate new annual estimates and calculate year-end reconciliations along with billings to certain tenants based upon the timing of invoice payment such as real estate tax bill cycle.
  • Review findings from tenant audits of year-end reconciliations, negotiate and calculate adjustments and maintain positive relationships with tenant representatives. Upon resolution, coordinate with accounts receivable team to interpret tenants’ ledgers, statements, and payment history
  • Calculate other methods of tenant billings including Overage Rent, Alternate Rent, Utilities and Direct Reimbursements
  • Monitor tenant openings, closings, and deliveries by working with asset management and tenant coordination to determine appropriate dates to bill rent, recoveries, and other charges
  • Research and interpret lease language and provide information and guidance to Regional Team, as requested, including but not limited to contributions, recoverable expenses, pro-rata share calculations.
  • Review and approve tenant allowance requests based upon lease requirements and ensure tenant has fulfilled requirement.
  • Utilize various data management/tracking tools to manage workload including MRI and Salesforce
  • Participate in process improvement initiatives including identifying opportunities to streamline workflows, reduce manual effort and improve data accuracy through enhanced use of systems, tools, and automation.
