This position oversees a 1.8 million square foot industrial portfolio across the Midwest, based in our Indianapolis office. The role reports to the Regional Property Manager and involves planned quarterly travel to Minneapolis, plus additional travel as needed. The Senior Property Manager is responsible for tenant relations, property operations, capital and tenant improvement projects, vendor management, and providing recommendations to Asset Management to enhance portfolio performance. The role ensures compliance with company policies and regulatory requirements, acting as a subject matter expert to provide leadership, mentorship, and operational guidance to team members and service providers, while partnering with regional leadership to deliver best-in-class tenant service and asset performance.

Requirements

  • Five (5+) years of commercial property management experience; industrial property management experience strongly preferred.
  • Demonstrated experience managing large-scale commercial or industrial portfolios.
  • Strong financial acumen, including budgeting, CAM reconciliations, forecasting, and variance analysis.
  • Ability to respond to tenant and operational issues that may arise during the day, evening, or weekend.
  • Team player who can effectively engage with regional leadership, leasing teams, Asset Management, vendors, and service partners.
  • Strong written and verbal communication skills.
  • Customer service oriented with strong organizational and problem-solving skills.
  • Ability to travel regularly throughout the assigned portfolio, including planned quarterly travel to Minneapolis and additional travel as business needs require.

Nice To Haves

  • Bachelor’s degree in Real Estate, Business Administration, Finance, or another related business discipline preferred.
  • Yardi experience preferred, including Voyager, Elevate, and Commercial Café.

Responsibilities

  • Provides leadership, training, and operational oversight to local property management personnel, vendors, and third-party service providers supporting the portfolio.
  • Participates in recruiting, onboarding, coaching, and performance management activities as directed by the Regional Property Manager.
  • Works with the leasing team and brokerage community to support successful leasing efforts.
  • Maintains strong relationships with tenants, vendors, community partners, and industry professionals.
  • Develops business relationships through membership and participation in professional, industry/trade, and civic organizations.
  • Supports and advocates for property management initiatives, training programs, and operational best practices across the region.
  • Provides best-in-class customer service to meet tenant needs and resolve issues promptly and effectively.
  • Ensures timely collection of rent and recoveries in accordance with lease terms within the assigned portfolio.
  • Reads, understands, and administers all tenant leases.
  • Oversees A/R collections and ensures all collection efforts are properly documented in Lease Manager.
  • Makes recommendations regarding legal proceedings or evictions to Asset Management for approval.
  • Oversees tenant work orders and ensures timely completion and documentation in Facility Manager.
  • Maintains availability to ensure emergency maintenance matters are addressed with urgency.
  • Coordinates and oversees tenant improvement projects, capital projects, and building construction activities to ensure timely, accurate, and on-budget completion.
  • Bids, negotiates, and manages vendor contracts.
  • Sets up and ensures accuracy of job codes and capital contracts in the accounting system for unit rollovers and other property management-driven capital projects in Construction Manager.
  • Controls operating costs, capital expenditures, and general and administrative costs.
  • Conducts regular property inspections and monthly site visits to Minneapolis to evaluate property conditions, tenant satisfaction, vendor performance, and capital project progress.
  • Regularly inspects vacant units to ensure they are clean and show well to prospective tenants.
  • Provides recommendations for repairs, refurbishment, and operational improvements to Asset Management in accordance with ALP property appearance and safety expectations.
  • Provides operational support by recommending best-in-class operational practices and helping ensure consistent performance across the portfolio and region.
  • Reviews Certificates of Insurance for vendors and tenants to ensure they are current and meet the insurance requirements detailed in vendor contracts and leases.
  • Reports property incidents and claims in accordance with ALP standards.
  • Ensures health, safety, and life-safety regulations, manuals, and inspections are performed in accordance with local municipality requirements and company policies.
  • Interfaces with the accounting team, including preparation of accurate and timely reporting.
  • Prepares and submits monthly management reports, including monthly reforecast and variance explanations, A/R collection notes, and a detailed executive summary of property and capital expenses for the ALP executive team and partners.
  • Provides regular portfolio updates and recommendations to the Regional Property Manager and Asset Management team regarding operational performance, tenant issues, capital projects, and budget variances.
  • Reviews and approves property invoices on a consistent basis to ensure timely remittance to vendors and brokers.
  • Reviews and submits monthly Commercial Billing Reports to ensure monthly rent billings are accurate and prepares late fee and holdover rent reports.
  • Prepares annual budgets and recommendations for capital planning.
  • Reviews and approves annual CAM estimates in accordance with budgets and sends letters to tenants explaining operating expense estimates.
  • Reviews and approves CAM reconciliations and communicates balances and/or credits to tenants.
  • Monitors financial performance and identifies opportunities to improve operating results and asset value.
