About The Position

The Senior Property Manager will be located in Atlanta, GA onsite and report to the Asset Manager. The Senior Property Manager will directly oversee a portfolio of properties in the Southeast United States. The Senior Property Manager will frequently collaborate with other members of the Property and Asset Management teams as well as the Acquisition and Development teams. The Senior Property Manager will be an energetic, organized, and highly motivated individual with at least ten (10) years of professional experience in the management and operation of commercial office space. The Senior Property Manager will have the ability to exercise good judgment in a variety of situations, with strong administrative, organizational, written and verbal communication skills, and the ability to maintain an effective balance among multiple priorities. Working hours will generally be between 8:00 a.m. and 5:00 p.m. with occasional flexibility required to manage business needs.

Requirements

  • Full time, onsite at corporate location in Atlanta, GA
  • Ability to routinely travel to other locations in the southeast United States (15–20% travel)
  • Minimum of ten (10) years of commercial property management experience
  • Bachelor’s Degree or higher
  • Excellent interpersonal and communication skills, both written and verbal
  • Strong organizational skills and attention to detail
  • Ability to plan and manage multiple, time-sensitive tasks without direct supervision
  • Superior customer service skills and orientation with the ability to maintain professionalism at all times under stressful situations
  • Sound troubleshooting skills and the capacity to fully resolve problems
  • Ability to clear U.S. Federal government security screenings / background checks to maintain building access
  • Strong computer skills, proficient in MS Office suite of programs

Nice To Haves

  • Certified Property Manager (“CPM”) certification or Real Property Administrator (RPA) designation strongly preferred
  • Knowledge of building mechanical systems
  • Knowledge of IMPAK (or similar) work order system
  • Knowledge of accounting processes / principles
  • Knowledge of Yardi software

Responsibilities

  • Oversee a portfolio of 10 – 15 commercial office, medical, and laboratory properties in the southeast United States based out of Atlanta, GA.
  • Be responsible for the operational performance of the portfolio of buildings in conformance with the approved operating budget.
  • Respond promptly to emergency situations and follow-through to resolution, which may require the Senior Property Manager to be available or “on call” to serve after business hours.
  • Balance changing priorities based on building operational performance, tenant needs, and budget constraints.
  • Serve as the primary point of contact for all tenant complaints and maintain positive tenant relations.
  • Oversee and coordinate onsite personnel and third-party vendors.
  • Administer leases and enforce leasehold obligations.
  • Conduct routine physical inspections of their assigned portfolio of buildings and provide a summary of findings to the Asset Manager.
  • Recommend and assist in the coordination of alterations, maintenance, and capital reinvestment at the property.
  • Communicate with tenant liaisons to coordinate work within the building.
  • Provide project management for minor tenant reimbursable projects.
  • Administer active service contracts and negotiate new services and renewals of service contracts with third-party vendors.
  • Maintain third-party vendor profiles and certificates of insurance.
  • Maintain information in, and process work orders through, the IMPAK work order system.
  • Oversee execution of the annual capital investment plan.
  • Assist with access coordination and collection of information to support all tenant lease renewals and marketing of building space.
  • Coordinate and complete special projects, as assigned.
  • Ensure buildings operate within approved operating budgets by maximizing revenue and controlling expenses whenever possible.
  • Receive, code, process, and approve third-party vendor invoices.
  • Track all month end invoices and accruals to ensure property accounting of costs.
  • Prepare or assist in the preparation of invoices for tenant reimbursable projects.
  • Annually, update and submit a 5-year operating budget for each property.
  • Develop 5-year capital investment plan and update annually based on the performance of building systems and project completion.
  • Serve as the primary point of contact for tenants and coordinate all tenant communications and correspondence.
  • At all times maintain a positive, respectful relationship with tenant representatives.
  • Respond to all concerns and ensure compliance with the lease, local code, and pertinent regulations.
  • Coordinate maintenance staff activities to resolve tenant issues utilizing the IMPAK work order system.
  • Coordinate a variety of internal and external meetings to align stakeholders and conduct business.
  • Conducting routine meetings with Asset Manager, Tenants, and Engineering Team.
  • Foster a positive and collaborative atmosphere amongst property teams.
  • Prepare agenda / materials, as needed, for meetings.
  • Track meeting minutes and Property Management action items.
  • Training, mentoring, and performance input for assistant property management staff.
  • Backup/coverage planning across the portfolio during PM absences.
  • Cross-training on systems (IMPAK, Yardi) for continuity.
  • Other duties as assigned / required.
