About The Position

The Senior Project Officer will be responsible for organizing and coordinating project meetings, serving as a central communication point for stakeholders, participating in consulting studies, documenting meeting outcomes, managing a document control system, preparing reports and presentations, providing administrative support, and following up on key initiatives. The role requires a university graduate with a bachelor's degree and at least 3 years of experience, preferably in project management and administration. Exposure to public sector or technology-related organizations is highly preferred. Strong cross-division coordination, communication, project management, analytical, and interpersonal skills are essential. Proficiency in project management software and fluency in English and Chinese are also required. Candidates with less experience may be considered for an Officer role, and fresh graduates with relevant internship experience may also be considered.

Requirements

  • University graduate with a bachelor’s degree in Business, Management, Communications, Science or Engineering preferred.
  • 3 years of working experience, preferably in project management and administration.
  • Exposure to public sector or technology related organizations highly preferred.
  • Exceptional cross-division coordination and communication skills.
  • Solid project management abilities from execution to reporting.
  • Strong analytical and interpersonal skills.
  • Proficiency in project management software and tools.
  • Good command of both written and spoken English and Chinese (including Putonghua).

Nice To Haves

  • Candidate with less experience will be considered for Officer role.
  • Fresh graduate with relevant internship experience may be considered.

Responsibilities

  • Organize and coordinate regular project meetings, including interlock sessions, steering committees, panel assessments, and stakeholder engagements, ensuring seamless logistics arrangement.
  • Serve as the central focal communication point for enquiries from relevant stakeholders including government bureaus, associations, universities, whilst maintaining a centralized log to track queries from receipt to resolution and ensuring timely responses.
  • Participate in consulting studies and tracking of the relevant projects’ execution status.
  • Capture the key notes of discussions at project and governance meetings, documenting key decisions, risks, issues, and assigned actions, then preparing minutes and action logs for distribution.
  • Manage a robust document control system in line with corporate governance standards, while preparing presentations and internal communications for review.
  • Prepare and collect reports, presentation deck and research materials.
  • Provide all-rounded administrative support including but not limited to calendar management, meeting coordination, record management and expenses management.
  • Follow up with various stakeholders to ensure key initiatives’ deadlines are met and outcomes are achieved.
  • Perform any other duties as assigned.
