About The Position

Ludia is looking for a detail-oriented Senior Payroll Administrator to join its Finance team on a part-time basis. Reporting to the accounting manager, this person will be responsible for the accurate and timely processing of payroll for approximately 170–200 employees, while serving as a reliable, accessible point of contact for all payroll-related questions.

Requirements

  • 3+ years of experience in a payroll administration role.
  • Solid knowledge of Quebec and Canadian employment standards, labor legislation, and payroll regulations.
  • Experience with payroll systems; Dayforce knowledge is an asset.
  • High attention to detail, strong organizational skills, and ability to handle confidential information with discretion.
  • Fluency in English and French (both written and spoken) is required to communicate effectively across diverse teams and external stakeholders.
  • Eligible applicants must be located in the province of Quebec and have working rights in Canada.

Nice To Haves

  • PCP (Payroll Compliance Practitioner) certification from the National Payroll Institute, or actively working toward it.
  • Experience processing payroll for 100+ employees.

Responsibilities

  • Process biweekly payroll accurately and on schedule, ensuring compliance with federal and provincial regulations.
  • Review, verify, and process all payroll-related changes, including new hires, terminations, salary adjustments, direct deposit updates, and leave management.
  • Prepare and submit government remittances (income tax, CPP/QPP, EI, QPIP) within required deadlines.
  • Execute year-end reporting and tax filing processes, including T4 and RL-1 generation and distribution.
  • Prepare and issue Records of Employment (ROEs) in a timely manner.
  • Ensure compliance with CNESST reporting requirements and annual declaration of remuneration.
  • Process benefits enrollments, changes, and terminations in coordination with the HR team.
  • Support HR during the annual benefits renewal and open enrollment period.
  • Reconcile benefits premiums with insurer invoices on a regular basis.
  • Act as the primary point of contact for employee payroll and benefits inquiries, providing clear, accurate, and timely responses.
  • Proactively communicate key payroll dates, deadlines, and policy changes to employees.
  • Maintain up-to-date payroll documentation and FAQs to support employee self-service and onboarding.
  • Identify and implement improvements to payroll processes, systems, and workflows.
  • Maintain and optimize the use of the payroll system (Dayforce or equivalent).
