About The Position

The Senior Payroll Specialist is responsible for overseeing end-to-end payroll operations for Head Office employees, including both salaried and hourly staff, and serves as the corporate payroll backup. This role ensures the accurate and timely processing of payroll, compliance with all federal and provincial regulations, and the completion of statutory reporting and year-end activities. The incumbent will work closely with HR, Finance, and other internal stakeholders to maintain data integrity, confidentiality, and operational excellence.

Requirements

  • Five (5) to eight (8) years of progressive payroll management experience
  • Proven experience using ADP Workforce Now
  • Strong knowledge of Canada-wide payroll processing, including WCB, CNESST, and WSIB requirements
  • Solid analytical and mathematical skills
  • Intermediate proficiency in Microsoft Excel
  • Excellent time management skills with the ability to manage multiple priorities and meet tight deadlines
  • Proficiency in both French and English due to the national scope of the work and the diverse stakeholders involved
  • Strong written and verbal communication skills in both languages

Responsibilities

  • Manage the full payroll cycle for Canadian salaried employees
  • Collect and process weekly timesheets for hourly employees and review corporate payroll in the absence of the Senior Payroll Specialist (Corporate Stores)
  • Enter and maintain employee data, including new hires and terminations, in ADP Workforce Now
  • Verify payroll data and ensure compliance with applicable labour laws and regulations
  • Administer and process payroll garnishments, ensuring accuracy, compliance, and timely remittance
  • Prepare and submit month-end payroll journal entries and required payroll reporting to the Finance department
  • Coordinate and process bonus payouts, ensuring proper taxation and accurate reflection in payroll
  • Ensure vacation balances, statutory holidays, leaves of absence, and other time-off entitlements are accurately reflected in payroll
  • Ensure all employee salaries and wages are paid accurately and within established timelines
  • Prepare and process payroll-related forms in ADP, including Records of Employment (ROEs), income tax forms, and statutory remittances
  • Manage year-end payroll activities, including the preparation and distribution of T4s
  • Maintain accurate and detailed payroll records and documentation to support audits and legislative requirements
  • Administer employee insurance programs, including updates and changes, ensure accurate reflection in ADP, and respond to employee inquiries related to benefits and insurance coverage
  • Collaborate with Human Resources and other departments to ensure payroll and employee records are accurate, aligned, and up to date
  • Ensure strict confidentiality of sensitive payroll and personal information and demonstrate a high level of professionalism at all times
