About The Position

The Senior Patient Scheduling Coordinator is responsible for answering incoming phone lines for the specialty care team, maintaining pre-determined abandon rates, and scheduling appointments and ancillary studies for patients. This role ensures authorizations are obtained for applicable visits or studies, updates the computer system with authorization information, and orders outside ancillary studies or therapy with authorization if needed. The coordinator also ensures results are received in the office prior to the appointment date and available in WakeOne, coordinates follow-up appointments with ancillary testing or treatment, and facilitates physician-to-physician communication. Additionally, the role involves canceling and rescheduling appointments, reviewing digitized studies, scheduling ambulatory procedures, pre-certifying patients, obtaining authorizations, and coordinating ambulatory and surgical clinical activity. The Senior Patient Scheduling Coordinator receives, reviews, documents, and routes external referrals, follows up as directed by the physician, returns patient calls, and schedules appointments and ancillary studies as needed. This position also assists in training less experienced personnel, maintains travel and academic calendars for physicians, manages urgent and emergent requests, and performs financial duties such as authorizing insurance and assisting patients with billing questions. Other duties as assigned.

Requirements

  • High school diploma or GED equivalent with three years' experience in a direct consumer services role with demonstrated ability to resolve problems under stressful conditions required.
  • Ability to maneuver several computer software systems simultaneously to access/document data related to interactions.
  • Self-motivated.
  • Works independently without direct supervision.
  • Ability to maintain a positive attitude when interacting with the public.

Nice To Haves

  • Experience handling multiple calls in a stressful environment preferred.
  • Previous experience working in a surgical specialty environment preferred.
  • Strong working knowledge of medical terminology preferred.

Responsibilities

  • Answers incoming phone lines for specialty care team and maintains pre-determined abandon rates.
  • Schedules appointments and ancillary studies for patients, ensuring authorizations are obtained and updating the computer system.
  • Orders outside ancillary studies or therapy and obtains authorization if needed, ensuring results are received and available.
  • Ensures follow-up appointments are coordinated with ancillary testing or treatment and requests test results be sent to the office.
  • Facilitates physician-to-physician communication via PAL Line, directs incoming calls, and schedules peer-to-peer review.
  • Cancels appointments and studies, and refers and reschedules at patient request.
  • Reviews all studies when returned from digitization to ensure all images are downloaded and accessible.
  • Schedules all ambulatory procedures, pre-certifies patients, and obtains authorizations as needed.
  • Coordinates ambulatory and surgical clinical activity between residents and supervising faculty.
  • Receives, reviews, documents, and routes all external referrals, and completes follow-up as directed by the physician.
  • Returns patient calls per APP or physician instructions and communicates follow-up directions.
  • Assists in the training of less experienced personnel.
  • Maintains travel and academic calendars for physicians, ensuring time away is accurately recorded and communicated.
  • Receives and manages urgent and emergent requests critical for patient safety and good clinical outcomes.
  • Performs financial duties such as authorizing or obtaining authorization for insurance and assisting patients regarding billing questions.
