About The Position

The Senior Office Assistant – Service Call Center will provide quality support to the organization and coordination of the processing of work orders and requests for the campus, with an emphasis on customer service.

Requirements

  • High School diploma.
  • One (1) year of office experience with customer service or an equivalent mix of education and relevant experience in similar role.

Nice To Haves

  • Proficiency with MS Office applications, including but not limited to Word, Excel and Power Point.
  • Experience with TMA Systems (Maintenance Management Software).
  • Experience with UT System specific software (PeopleSoft accounting system).

Responsibilities

  • Review, receive, enter, approve, and route incoming emergency, routine maintenance, and service requests for campus submitted by telephone, online, or email.
  • Ensures timely processing while delivering a high level of customer service and clear communication.
  • Follow up with contractors regarding daily requests for elevators and extermination and provide feedback to Director or Assistant Director.
  • Assist shops with entering materials, labor, comments, and closing of work orders.
  • Assist with processing accurate billings for weekly and monthly maintenance, bi-monthly vehicle fuel usage, monthly vehicle maintenance, and van rentals.
  • Assist with the updating of invoices for services rendered.
  • Assist with departmental service survey satisfaction distribution and tracking responses.
  • Ability to use dispatch radio equipment.
  • Schedule van rentals.
  • Maintain building roof access log; follow up with technician to assure roof access is secured and used as a safety measure for technicians.
  • Performs other duties as assigned.
