About The Position

The Senior Executive Assistant is responsible for providing high-level administrative and operational support to the executive team and manage company administrative requirements, projects and initiatives. This role ensures seamless execution of administrative, compliance, and executive functions while maintaining confidentiality and supporting business priorities.

Requirements

  • Minimum of 8 years’ experience in executive level support.
  • Ability to manage and prioritize multiple projects.
  • Ability to communicate effectively and professionally with internal/external contacts.
  • Highly organized and reliable
  • Ability to work effectively with executives and be discreet.
  • Proficiency in MS Suite: Outlook, Word, Excel, PowerPoint, MS Project.
  • Coachable: Receptive to feedback, willing to learn, responsive to change, and embraces continuous improvement.

Nice To Haves

  • Familiarity with procurement functions, including purchase order processing and purchasing workflows, is a plus.

Responsibilities

  • Manages Request for Proposals (RFPs), audits, and security questionnaires by drafting responses and compiling relevant documentation for executive management review.
  • Oversees executive administrative operations and workflow.
  • Processes all state licenses, bonds, certificates, and permits per state requirements.
  • Oversees the contract management process, including drafting and maintaining databases, such as Contract Manager.
  • Manages insurance renewals and compliance.
  • Responsible for sports and event tickets, including internal distribution.
  • Maintains organizational charts and executive documentation.
  • Administers executive tools (Zoom, WebEx, LockLizard).
  • Manages corporate credit cards and business cards.
  • Supports client presentations and reporting.
  • Oversees memberships, audits, and charitable initiatives.
  • Provides notary services and executive support.
  • Manages suggestion box inquiries and provides feedback.
  • Acts as the facilitator between SSAE 18 auditors and internal CCS staff for audit documentation.
  • Reviews and approves company-wide requests for office supplies.
  • Coordinates executive travel arrangements.
  • Supports the President and executive management team.
  • Ability to handle highly confidential and sensitive information with the utmost discretion and maintains the highest level of professionalism at all times.
  • Ability to maintain consistent and regular attendance in accordance with an established schedule.
  • Ability to work onsite/in-office in accordance with CCS and department policies and procedures.
