About The Position

The Tucson Convention Center, including the Tucson Arena, Linda Ronstadt Music Hall, and Leo Rich Theater, has an opening for a skilled Senior Events Manager. This role involves supervising staff, overseeing all aspects of facility operations related to events, and serving as the primary liaison between clients and facility departments. The Senior Events Manager will guide clients in event preparation, coordinate with service contractors, prepare cost estimates, and ensure clear communication of requirements to operational departments. The position also involves monitoring in-house events, maintaining positive public relations, and developing policies and procedures for relevant departments.

Requirements

Bachelor’s degree (B. A.) from four-year College or university preferred.
2-4 years related public facility management experience.
Theater Experience a plus.
Working knowledge of the principles of facility management, services and equipment for a similar facility.
Operate AutoCAD design software preferred.
Excellent organizational, planning and interpersonal skills
Strong written and verbal skills
Ability to prioritize multiple projects
Demonstrate problem-solving and communication skills
Professional presentation, appearance and work ethic
Ability to work under limited supervision and to interact with all levels of staff including management
Ability to work long and irregular hours that may vary due to functions and may include day, evening, weekends and holidays.
Knowledgeable in Microsoft Office applications (Word, Excel, Power Point, etc.)

Responsibilities

Supervises staff and oversees all aspects of facility operations related to events.
Assist in hiring, training and supervising Event Services staff.
Meets with client groups to plan and organize assigned meetings and/or events.
Coordinates activities with the various service contractors for assigned meetings and/or events.
Guides clients in preparation of events by interpreting and explaining contract provisions, policies and procedures.
Keeps clients informed as to status of deadline schedules, including but not limited to floor plan submissions, meeting room set-up specifications, insurance requirements and other relevant details.
Prepares cost estimates and monitors final billing.
Provides clear, concise, and timely communication of detailed requirements to operational departments and clients.
Maintains thorough and complete event records.
Monitors and supervises facility set-up when necessary.
Serves as primary liaison between clients and facility departments.
Monitors in-house events, maintaining close contact with clients and facility staff to ensure successful events.
Maintains the proper image and generates positive public relations with patrons and staff
Follows-up on all client requests, concerns, and problems.
Attends appropriate planning, organization and other events and facility meetings in support of facility operations
Work with relevant departments and vendors to provide prompt invoices.
Distribute Three-Week Schedule of events
Develop policies and procedures for the Event Services, Guest Services and Parking Department and monitor their compliance.
Serves as MOD (Manager on Duty) as required.
Perform other duties as assigned
Serves as the resource for training the Event Services team on administrative and event day procedures.
Directly supervise the Event related staff and Operations staff when required.
Carries out supervisory responsibilities in accordance with policies and applicable laws.
Responsibilities include planning, assigning, and directing work; addressing complaints and resolving problems.
