Requirements

  • 6+ years of experience running B2B events, with a strong emphasis on hosted executive programs over solely trade show logistics.
  • Experience owning a program, including managing an annual calendar and budget, and making decisions to discontinue initiatives.
  • Experience directing the work of others, formally or informally, setting standards and holding individuals accountable without performing the tasks directly.
  • Strong commercial judgment, focusing on metrics like meetings created and pipeline influenced.
  • Proficiency in vendor and budget management, including hard negotiation and meticulous tracking.
  • Ability to remain calm and effective on-site when issues arise.
  • Comfort interacting with executives, including providing feedback to founders and directing senior operators.
  • Sharp written communication skills for invitations, agendas, and follow-ups.
  • Proficiency in using frontier AI tools to enhance event management efficiency.
  • Willingness to travel approximately 25%, concentrated during event seasons.
  • Availability to work 5 days a week in the New York office.

Responsibilities

  • Design and run executive programs, including summits, working sessions, and private dinners, focusing on the objective, format, and attendee selection.
  • Own the annual event calendar, deciding on hosted events, trade shows, partner events, and internal gatherings, including discontinuing underperforming events.
  • Manage presence at industry trade shows and conferences in distribution, construction, logistics, and healthcare, including booth, speaking slots, side events, and associated meetings.
  • Coordinate partner and ecosystem events with NVIDIA, Google, and Microsoft, and develop joint events from these relationships.
  • Oversee the run-of-show for events, making on-site decisions to resolve issues like AV failures, speaker cancellations, or unexpected attendance increases.
  • Manage the event budget end-to-end, including negotiating with venues and vendors, tracking spend, and defending cost per qualified conversation.
  • Develop pre-event outreach and post-event follow-up sequences, ensure data is accurately entered into HubSpot, and report on event outcomes.
  • Direct day-to-day events work, setting priorities and quality standards to improve execution.
  • Prepare founders for executive programs and internal events, including briefings on attendees and talking points.
  • Run offsites and all-hands meetings across the company's offices in New York, San Francisco, London, and Toronto.
