About The Position

Docplanner is hiring a Senior Engineering Manager to lead its Booking & Availability engineering team, which builds the systems that manage practice availability and help patients book appointments. The role works closely with Product and Design and combines team leadership with hands-on software development and AI-native engineering practices. The team’s mission is to help practices make the most of every hour through reliable scheduling, effortless booking, and fewer empty appointment slots. Booking & Availability is one of four sub-areas within Docplanner’s Practice Management Software (PMS) area. Its work includes shared modules across PMS teams, availability rules and exceptions, conflict-free calendar scheduling, booking confirmations and reminders, recovering cancelled appointments through a waiting list, and Noa Reception, an AI product line that handles patient reception requests. The manager will balance foundational engineering work with fast experiments, using practice and patient feedback to guide priorities. Success includes developing and retaining a high-performing team, improving measurable scheduling reliability, establishing shared direction with other PMS teams, and using live usage data to guide Noa Reception’s development. The position is 100% remote within Poland, with a remote or hybrid work model and a Warsaw hub available. The company describes its working hours as fully flexible in most cases, with only a couple of meetings weekly.

Requirements

  • At least 8 years of software engineering experience.
  • At least 4 years leading engineering teams in product companies, including hiring, employee growth, and performance management.
  • Experience driving platform or shared-component work across multiple teams or systems without control over all priorities.
  • Experience shipping systems where uptime and data integrity have significant consequences.
  • Technical depth to make pragmatic architecture and quality decisions.
  • A demonstrated record of developing people, including examples of engineers who advanced under the candidate’s leadership and difficult performance situations handled well.
  • Hands-on experience using AI to speed up code writing, review, and refactoring, with sound judgment about when not to rely on AI.
  • Experience driving AI adoption across a team, including engaging skeptical or hesitant engineers.
  • Ability to manage dependencies and stakeholders across organizations with differing incentives.
  • A founder mindset: move quickly from idea to experiment, validate with users, and change direction based on evidence.
  • Comfort with ambiguity and trying new approaches while helping the team navigate uncertainty.
  • Fluent English.

Nice To Haves

  • Experience with scheduling, calendaring, or booking systems, such as availability rules, calendar synchronization, or marketplace booking.
  • Production experience with LLM-powered or conversational products, including chat or voice agents, evaluation, and guardrails.
  • Experience with notification systems at scale, including SMS, email, or push, where delivery and timing matter.
  • Exposure to healthcare, clinic workflows, or regulated data environments.
  • Experience working at scale.
  • Polish or another language spoken in Docplanner’s markets.

Responsibilities

  • Lead the Booking & Availability engineering team and maintain a focused, reliable, AI-native engineering culture.
  • Own team performance management by setting expectations, giving regular direct feedback, conducting reviews and calibrations, and addressing underperformance early.
  • Develop engineers through growth plans, coaching, pairing, code review, and stretch opportunities; help grow future senior engineers and tech leads.
  • Hire as the sub-area grows and build a team capable of making decisions without relying on the manager for every choice.
  • Work with Product and Design to choose investments, balance foundational work with experiments, and pivot when evidence supports a change.
  • Own scheduling-engine reliability, including correctness under concurrent bookings, recurring rules, time zones, and incident response.
  • Contribute directly to the codebase by prototyping, implementing features, and making architectural changes.
  • Develop the team’s AI-native practices while maintaining quality and keeping operational burden low as delivery speeds up.
  • Track and communicate impact using concrete metrics.
  • Collaborate with other PMS teams on shared modules, modernization, migrations, and common direction across markets.
  • Use real usage data from Noa Reception in live practices to inform what the team builds next.
