About The Position

Assists and supports in the oversight and management of Local 6 office staff and the business operations of the Clerk’s/Register’s/Recorder’s office or a Probation Office. Responsibilities may include the office’s hiring processes, work assignments, implementation of policies and procedures, departmental metrics, ongoing training, communications, administering clerical unit employee evaluations, and participating in investigations of misconduct at the direction of the Department Head. This position is designated as a Union position and requires coverage in Lowell and Woburn as needed. It is open only to current Probate & Family Court Department employees.

Requirements

  • Bachelor’s degree from an accredited university or college
  • Six (6) years of related work experience, four (4) years should include supervisory duties.
  • Equivalent combinations of education and experience will be considered for meeting minimum qualifications.
  • Knowledge of modern office equipment and technology, including computers and applicable software.
  • Knowledge of Departmental and court policies and procedures.
  • Knowledge of Code of Ethics.
  • Knowledge of principles and practices of employee supervision.
  • Knowledge of State statutes.
  • Knowledge of legal documents and terminology.
  • Skill in organization and time management.
  • Skill in attention to detail.
  • Skill in data entry.
  • Skill in customer service.
  • Ability to establish effective working relationships with others.
  • Ability to prepare clear and accurate reports and perform research.

Responsibilities

  • Supervises and manages work activities within the clerical unit, including office supervision and management.
  • Conducts performance evaluations and provides guidance to staff.
  • Implements procedures, manages cases and processing, and oversees records management.
  • Collects and reports statistics and performs accounting functions.
  • Meets with court personnel and other individuals to discuss ways to improve the efficiencies of court sessions and related work.
  • Ensures court staff comply with existing statutes, best practices, and Trial Court policies and procedures.
  • Monitors employee performance and conduct for compliance with policies and agreements.
  • Participates in gathering facts related to issues of conduct or performance and may impose low-level discipline.
  • Conducts Annual Performance Reviews and issues Action Plans for professional development.
  • Participates in the hiring and promotion process for clerical staff.
  • Monitors and approves Time and Attendance for employees and reviews related reports.
  • Coordinates and prepares the annual update of the Office’s Internal Control Plan and Risk Assessments.
  • Serves as the court liaison to the Judicial Informational Services Department (JISD) for electronic equipment and software.
  • May perform the duties of the Local User Expert (LUE) for MassCourts and other information systems.
  • Develops, implements, and coordinates local training and education opportunities for office staff employees.
  • Serves on various committees and working groups as a representative of the Court division.
  • Performs other duties as required.
