About The Position

Skylo is seeking an experienced in-house Paralegal to manage the daily operations of its legal department. This is a hands-on operational role focused on managing the legal intake tool (Streamline) from end to end, executing routine workflows such as contract intake, triage, signature routing, and filing, and maintaining corporate records, trackers, and knowledge repositories for a growing global company. The goal is to make legal processes efficient and accessible, reducing request-to-signature times, eliminating contract location queries, and empowering the business with self-service resources. Key responsibilities include owning and administering the Streamline system, managing the full contract lifecycle from preparation to filing, overseeing signature workflows, maintaining the contract repository, building and managing legal trackers and reports, maintaining corporate records for US and international entities, developing and improving legal knowledge repositories, designing and optimizing workflows, supporting the IP docket, assisting with compliance and privacy matters, coordinating with outside counsel and vendors, and managing diligence, litigation, and records retention processes. The role requires cross-functional collaboration with various departments and colleagues across different time zones.

Requirements

  • Bachelor’s degree or paralegal certificate. ABA-approved paralegal program, NALA (CP/ACP) or NFPA (RP) certification preferred.
  • 5+ years of paralegal or legal operations experience, with meaningful time in-house at a technology company.
  • Demonstrated ownership of a legal intake, matter management or contract lifecycle management platform, including configuring it, administering it, and driving adoption.
  • Hands-on experience running signature workflows at volume in DocuSign or Adobe Sign, including template and envelope configuration and signature authority verification.
  • Working familiarity with commercial contracts such as NDAs, vendor and procurement agreements, DPAs, SOWs, order forms and amendments, and the judgment to prepare routine documents from playbooks and know when to escalate to counsel.
  • Experience maintaining corporate records and entity management for a multi-entity, multi-jurisdiction company, including board consents, minute books and annual filings.
  • Strong systems fluency across Google Workspace, Confluence and Jira, DocuSign and e-billing tools, with comfort building trackers, dashboards and lightweight automations.
  • Exceptional organization and attention to detail, with a proven record of managing a high-volume queue against deadlines and never dropping the thread.
  • Clear, concise written communication and the professional judgment to handle confidential and privileged information with discretion.
  • Comfortable operating in a fast-moving company where the process does not fully exist yet, and building it as you go.
  • Ability to collaborate across US, European and Indian time zones, with occasional flexibility for early or late calls.

Nice To Haves

  • Experience with Streamline, Ironclad, Linksquares, Agiloft, Evisort, SimpleLegal or similar.
  • Experience supporting satellite, telecommunications, IoT, semiconductor or other technology and hardware businesses.
  • Exposure to privacy, export control, IP docketing or equity administration.

Responsibilities

  • Own Streamline as the system administrator and process owner, triaging requests, assigning and prioritizing matters, chasing information, enforcing SLAs, and maintaining a clean queue.
  • Configure intake forms, routing rules, approval paths, and templates as the business evolves.
  • Manage the routine contract workflow end to end, including preparing and populating templates (NDAs, DPAs, vendor and procurement agreements, order forms, SOWs, amendments).
  • Route contracts for internal review and approval, manage the signature process through DocuSign, confirm execution, and file the final version.
  • Serve as the owner of signature workflows, verifying signatory authority, building and sending envelopes, tracking status, following up on stalled signatures, and confirming counterparty execution.
  • Maintain the signature authority matrix and escalate exceptions.
  • Maintain the contract repository as the single source of truth with consistent naming, complete metadata, correct permissions, and no orphaned drafts.
  • Drive the cleanup and migration of legacy agreements.
  • Build and maintain trackers for matter status, contract pipeline, renewal and expiration calendars, obligations and deliverables, outside counsel spend, and compliance deadlines.
  • Produce recurring reporting on volume, cycle time, and bottlenecks, and propose fixes.
  • Maintain corporate records across US and international entities, including board and stockholder minutes, written consents, resolutions, organizational documents, minute books, registered agent coordination, annual reports, business licenses, and qualifications to do business.
  • Support board and stockholder meeting logistics, prepare and circulate signature packets, and maintain the corporate calendar.
  • Build and continuously improve Skylo’s legal knowledge base, including playbooks, fallback positions, template libraries, FAQs, process guides, and self-service resources on Confluence.
  • Map existing legal processes, identify friction points, and redesign them to automate handoffs and reminders, standardize paths, and measure results.
  • Document all owned processes.
  • Maintain the IP docket in coordination with outside counsel, covering patent and trademark filing and response deadlines, prosecution status, invention disclosure tracking, and renewal and maintenance dates.
  • Support recurring compliance obligations, including DPA and privacy paperwork, vendor and security questionnaires, policy attestations, insurance certificates, and audit and diligence requests.
  • Act as the operational interface to outside counsel and legal vendors, handling engagement letters, conflict checks, matter budgets, invoice intake and review, accrual support, and spend reporting.
  • Assemble and maintain diligence data rooms for financing, partnership, and audit processes.
  • Support legal holds, document collection and preservation, subpoena and third-party request handling, and administer the records retention schedule.
  • Work daily with Sales, Business Development, Procurement, Finance, People Ops, Engineering, and Network Operations, and with colleagues across Mountain View, Espoo, and India, to keep legal requests moving and expectations clear.
