About The Position

The Senior Coordinator for Education and Community Engagement serves a critical role in the planning and execution of Strathmore’s Bloom and Education programs. In collaboration with the team, the Senior Coordinator has two main work areas: 1) department and program administration, and 2) program and event staffing. The Senior Coordinator drives administrative processes to support the smooth production of a wide range of programs, including public on-site events, off-site community programs, and programs in schools. They will be responsible for working within and improving systems for the department’s smooth operation and will represent Strathmore Bloom and Education to internal departments, patrons, customers, artists, and community partners.

Requirements

  • 2-4 years of progressively responsible administrative experience
  • 2-4 years coordinating events, meetings, conferences, performances, or special events.
  • Experienced in coordinating multiple priorities in a fast-paced environment
  • Experience working with vendors, clients, and volunteers.
  • Experience managing multiple projects simultaneously.
  • Microsoft Office Suite (particularly Outlook, Word, Excel, and PowerPoint)

  • Customer service or hospitality experience is highly valued.
  • Budget tracking and expense management are a plus
  • Project management software (such as Asana, Monday.com, Smartsheet, or similar) is often a plus.

Responsibilities

  • Draft and submit offers and contracts.
  • Manage the payment system and ensure prompt and accurate payments in collaboration with the Finance department.
  • Keep event and attendance records.
  • Reserve spaces.
  • Ensure timely and accurate communication and collaboration with other Strathmore departments, including Marketing, Advancement, Operations, Programming and Finance.
  • Support the Directors with tasks as requested.
  • Supervise interns and part-time staff.
  • Track deadlines, gather information, and manage the Current Program Checklist and Booking Sheets.
  • Correspond with diverse presenters, instructors, and colleagues to advance events.
  • Manage event materials.
  • Provide artist hospitality.
  • Liaise with vendors such as A/V technicians and caterers.
  • Provide participant customer service.
  • Ensure standards are met, and provide feedback to the team.
  • Communicate promptly, warmly, and clearly with colleagues, Education patrons, and partners, building strong relationships.
