The Opportunity We are seeking a Senior Business Affairs Coordinator to join our team. This role plays a critical part in supporting both corporate and production business affairs across a diverse slate of projects, including animation and live-action productions for various platforms. You will work closely with internal teams including production, development, finance, and legal, as well as external partners such as guilds, agents, and funding bodies. This is an ideal opportunity for someone who thrives in a detail-oriented, deadline-driven environment and is looking to take on a more senior, hands-on role within a growing production company.

Requirements

  • 5+ years of experience in business affairs, legal coordination, production, or a related role within the film, television, or media industry
  • Post-secondary education in Business, Legal Studies, Film/Media, or a related field (or equivalent experience)
  • Strong understanding of contract administration and production workflows
  • Experience supporting tax credits, financing, or production accounting is considered an asset
  • Knowledge of Canadian guilds/unions and industry standards is an asset
  • Excellent organizational and time management skills, with the ability to manage multiple projects and deadlines
  • High level of accuracy and attention to detail
  • Strong written and verbal communication skills
  • Ability to work independently while collaborating effectively across teams
  • Proactive, resourceful, and solutions-oriented mindset
  • Ability to handle sensitive and confidential information with discretion
  • Proficiency with Microsoft Office (Excel, Word, Outlook) and document management systems; experience with production tracking tools is an asset

Responsibilities

  • Draft, revise and circulate development and production agreements and contracts and other basic legal documents, generally based on templates and under the supervision of legal counsel and senior management
  • Coordinate the execution, distribution and filing of contracts and agreements
  • Summarize and track deal terms for key production personnel, including payment schedules, options, credits and restrictions
  • Working with various teams to track invoices and to ensure talent payments are made in a timely manner
  • Manage tracking of development projects and productions for key dates and deadlines, deliverables and general status updates
  • Coordinate, manage and track tax credit and financing administration for multiple projects in various jurisdictions, ensuring deadlines are known and met
  • Provide administrative support for production audits
  • Provide information and resources regarding various government and private financing and certification bodies at both the federal and provincial levels
  • File certification applications with various entities, manage analyses and distribution
  • Liaise with legal and production regarding clearance reports
  • Support the incorporation of production companies, track the status of their life cycle and assist with annual filings, renewals, amalgamations and dissolutions as required
  • Remain up to date with relevant unions and guilds and their collective agreements, as well as apply for and maintain guild signatory status for development projects and productions
  • Under the direction of senior management, coordinate corporate and production insurance coverage including terms, renewals, invoices and payments and certificate distribution
  • Manage department filing, organization, and accessing documents
  • Work collaboratively and cross-functionally with development and production teams, finance and accounting, legal, and operations
  • Other duties as required, including possibly contributing to special projects and departmental initiatives
