About The Position

This role leads day-to-day facilities operations for MSCI’s New York Headquarters, a high-profile, fast-paced environment supporting approximately 550 employees, senior leadership, clients, and frequent internal and external events. The Senior Associate is accountable for operational reliability, vendor management, critical systems oversight, life safety compliance, workplace readiness, pantry and café operations, and overall maintenance and upkeep of building installations. The role provides direction to porter services and serves as the primary facilities escalation point for the site.

Requirements

  • Bachelor’s degree in Facilities Management, Engineering, Business Administration, or related field preferred.
  • 5+ years of facilities operations experience in a corporate or high-profile environment.
  • Strong experience managing vendors, preventive maintenance programs, and building repairs.
  • Working knowledge of building systems (HVAC, fire/life safety, lighting, security, critical infrastructure).
  • Experience with budget tracking, invoice processing, and SAP or similar systems.
  • Ability to operate effectively in a fast-paced, executive-facing headquarters environment.
  • Strong communication skills and ability to coordinate across Security, IT, HR, and leadership teams.

Responsibilities

  • Facilities Operations, Repairs & Vendor Management
  • Oversee day-to-day repairs, break-fix work, and general upkeep of installations including lighting, flooring, walls, ceilings, doors, and built environments.
  • Manage lighting replacements and upgrades, coordinating vendors for high-reach or electrical work as required.
  • Ensure reliability of building systems including HVAC, electrical, fire/life safety, plumbing, and emergency lighting systems.
  • Schedule, oversee, and evaluate vendors (HVAC, electrical, plumbing, fire/life safety, security systems, janitorial, etc.).
  • Manage vendor contracts, service quality, SLAs, and cost control.
  • Approve and process vendor invoices in SAP and track operating expenses.
  • Provide operational oversight and direction to porter staff and on-site service providers.
  • Serve as the primary facilities escalation point, ensuring 24/7 operational readiness and providing onsite support during emergency repairs, critical system failures, life safety incidents, and Business Continuity Plan (BCP) events as required.
  • Pantry, Café & Inventory Management
  • Oversee pantry vendor performance, stocking standards, and product quality.
  • Establish and monitor inventory thresholds for snacks, beverages, and office supplies.
  • Coordinate café equipment maintenance (coffee machines, refrigerators, dishwashers, microwaves, etc.) and manage repair vendors.
  • Ensure pantry and café areas meet cleanliness, presentation, and hospitality standards appropriate for a global headquarters environment.
  • Track pantry-related expenses and manage vendor billing reconciliation.
  • Critical Infrastructure & Comms Room Oversight
  • Own the site maintenance calendar and preventive maintenance program.
  • Oversee environmental integrity of the comms room (temperature, cleanliness, vendor access).
  • Coordinate closely with IT/WPT and Security for infrastructure-related work.
  • Escalate system failures and manage corrective actions with urgency and accountability.
  • Security & Access Control Administration
  • Administer badge creation, activation, deactivation, and access level changes.
  • Coordinate with Security on card readers and physical security controls.
  • Maintain compliance with corporate access policies and audit requirements.
  • Life Safety, Compliance & Emergency Preparedness
  • Oversee AED program, first aid kits, emergency lighting, and life safety equipment inspections.
  • Coordinate fire drills, evacuation protocols, and emergency response procedures.
  • Support during Business Continuity Planning (BCP) activities.
  • Ensure regulatory compliance and inspection readiness at all times.
  • Workplace Operations, Events & Projects
  • Ensure conference rooms, executive spaces, and training areas are operationally ready.
  • Coordinate facilities logistics for high-volume client and internal events.
  • Oversee furniture reconfigurations, small moves, workspace adjustments, and minor renovation projects.
  • Support planning and execution of maintenance-related capital projects and office upgrades.
  • Maintain presentation standards appropriate for a global headquarters environment.
  • Provide oversight and direction to porter staff responsible for furniture moves, room resets, and pantry or supply restocking. While these duties are primarily fulfilled by porter services, the Senior Associate may be required to assist with manual tasks such as moving chairs, tables, and restocking supplies during periods of limited staffing, to maintain operational readiness, keep spaces presentable, or support high-priority meetings and events.
  • Mobile Program & Workplace Technology Coordination
  • Coordinate with the Mobile Team for device orders, replacements, and updates for the New York site.
  • Maintain local visibility of mobile inventory and ensure proper documentation and tracking.
  • Support employees with site-level mobile and workplace technology logistics as needed.
