We're looking for a highly organized, detail-obsessed Senior Associate, Event Marketing to own the planning and execution of external brand marketing programs — including tradeshows, brand activations, and sponsorship activations — while partnering closely with the broader Events team across internal and external programs. This is an ideal role for someone who thrives in fast-paced environments, loves managing complex logistics, and gets energized by bringing high-impact brand experiences to life across a wide range of program types.

Requirements

  • 5+ years of event marketing experience, with a strong focus on external events such as tradeshows, brand activations, or field marketing programs.
  • Proven track record managing end-to-end event execution with strong onsite presence and ownership.
  • Experience with brand activations, experiential marketing, or sponsorship programs is strongly preferred.
  • Exceptionally organized, detail-oriented, and resourceful with the ability to manage multiple programs simultaneously.
  • Strong communicator with the ability to collaborate effectively across cross-functional stakeholders and influence teams to drive event success.
  • Comfortable being external-facing: working with vendors, venue teams, show organizers, agencies, and partners.
  • Experience supporting budgets, tracking expenses, and reporting on event performance and ROI.
  • Demonstrated ability to track event KPIs and summarize performance insights.
  • Familiarity with registration platforms (Cvent, Bizzabo), CRM tools (Salesforce), and project management tools preferred.
  • Strong understanding of brand experience, booth flow, visual consistency, and audience engagement at events.
  • Ability to thrive in ambiguity and a fast-paced environment with many evolving priorities.
  • Willingness to travel approximately 20-25%, including some weekends.
  • Positive, solutions-oriented mindset and a strong team player.
  • Self-directed and motivated to continually improve event quality, efficiency, and impact.

Responsibilities

  • Own end-to-end planning and execution for assigned external events, including tradeshows, brand activations, and sponsorship-related activations - from initial scoping through onsite execution and post-event readout.
  • Manage all event logistics including booth builds, venue and vendor coordination, shipping, travel, collateral, giveaways, signage, and onsite attendee experience.
  • Bring brand activation programs to life in creative, high-impact environments - ensuring consistent brand standards, messaging, and audience engagement across all touchpoints.
  • Manage budgets for assigned programs, including planning and forecasting, expense tracking, vendor invoicing, and post-event ROI analysis.
  • Serve as a primary point of contact for show organizers, venue teams, external vendors, agencies, and third-party partners.
  • Partner cross-functionally with teams across Toast (Marketing, Sales, People, Communications, Product, Customer Success, and more) to ensure events align with business priorities and goals.
  • Own staffing coordination for assigned events: build schedules, assign roles, and provide onsite expectations and enablement for attending Toasters.
  • Partner with Marketing Operations (MOPs) to support event setup, registration tracking, lead uploads, campaign attribution, and performance dashboards.
  • Track leads, MQLs, and engagement metrics; deliver clear post-event readouts with insights, learnings, and recommendations.
  • Support internal and cross-team events as a flexible execution resource when needed, including company-wide programs, team trainings, and customer-facing experiences.
  • Maintain event timelines, calendars, and detailed checklists to keep programs on track and well-executed.
  • Proactively identify operational gaps and bring forward recommendations to strengthen program execution over time.
